JOB SUMMARY:
The Project Manager Live Event and Web Meeting is responsible for planning, creating,
facilitating, and finalizing live events and/or web-based meetings as single projects, or in
conjunction with hosting on InvestigatorSpace. The Project Manager Live Event and Web
Meeting is responsible for liaising with the Client, Production, Client Delivery and Vendor teams
to ensure all client expectations are met.
ESSENTIAL DUTIES/RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The accountabilities listed below are representative of the knowledge, skills, and/or ability required.
General
- Ensures all projects are delivered on time and within scope and budget
- Monitors and report on the progress of a project to all stakeholders
- Completes invoicing / billing for all projects managed
- Coordinates internal resources and third parties/vendors for the flawless execution of projects
- Executes and/or attend weekly meetings to update clients on progress
- Manages multiple projects at the same time maintaining organization throughout
- Guides client on best practices to meet client deliverables
- Attends and supports global in person and web meetings
- Provides solutions for presentation needs under high-pressure circumstances
- Provides immediate response to assistance requests for meetings in progress
- Stays current with emerging technology
- Attendance and punctuality are essential functions of the position
- Maintains confidentiality in all client and company matters
Live Events
- Sets up, maintains, assists with and troubleshoots any issues occurring during installation of all built-in and portable A/V equipment including, but not limited to: videoconferencing (Tandberg Codecs, camera controls, audio dial-ins), audio (microphones, sound systems, speakerphones, conference calls), presentations (LCD projectors, screens, videos), A/V laptops (webcasts, network connections)
- Ensures that all onsite A/V equipment is fully functional and operating in the most efficient manner
- Conducts videoconferencing testing in accordance with daily schedule
- Provides advice, guidance, and education regarding equipment capabilities, limitations, and requirements to clients, conference services teammates and events contacts
- Maintains close contact with Conference Services, Facilities, and catering teams to ensure room configurations are conducive for meeting type and A/V objectives
- Maintains sufficient inventory of related supplies (bulbs, batteries, cables, DVDs, power supplies) and ensure operating efficiency of equipment
- Manages Live stream meeting delivery and voting systems in face-to-face engagements
- Performs setup and tear down of equipment Other conference services duties as assigned
Web Meetings- Manages the web meeting end-to-end on the current platform in use
- Manages the receipt of presentation files including quality control against web meeting standards
- Manages teleconference and translation services vendor
- Manages attendee invitation process and tracking
- Assemble assets required for production team to perform tasks
- Disseminates production information to production team through task and sub-task assignment based on requirements
- Evaluates deliverables prepared by the team to make sure the work meets requirements and maintains a high level of quality
- Provides event reporting leading up to and upon completion of event
EDUCATION REQUIREMENTS:
- Bachelor's degree or combination of education, skills, and experience to successfully perform the job
QUALIFICATIONS/EXPERIENCE:
- Minimum of 3 years of hands-on experience working in the audio-visual field, production industry or creative setting
- Experience with Windows, Outlook, MS Office, MS Project, PowerPoint, Adobe Presenter, Camtasia Studio, Goto Webinar, Zoom Webinar and Onstream Media
- Technically proficient with lighting, sound reinforcement, video recording and data and video projection, and virtual meeting platform management
- Experienced at selecting and managing crews and vendors
- Knowledge about the development and design of live events and/or online sites
- Experienced at directing and working in a large audio-visual set-up for large productions
- Ability to manage many different projects simultaneously and meet deadlines consistently
- Ability to travel globally to meet with clients, stakeholders, or attend off-site meetings
- Ability to lead and facilitate on site and/or virtual team members to ensure all technical aspects of the project are managed
- Comfortable speaking to clients and establishing and maintaining relationships with third parties/vendors
- Ability to think quickly, take the correct actions and work under the pressures of a live event or web meeting while operating the technology
- Comfortable moderating large web meetings
- Experience in communicating with clients in various ways (verbal and written)
- Exceptional customer service abilities
- Excellent communication, organizational, problem solving, and troubleshooting skills
- Willingness to learn and adapt to new systems and procedures
- Able to work extended hours and on weekends to meet the client's needs
- Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position described here
