Volunteer Coordinator supervises and leads the daily undertakings of a volunteer program to attract, inspire, train, and deploy volunteers. Leads the recruiting, interviewing, and hiring of volunteer workers. Being a Volunteer Coordinator is responsible for training and educating volunteers. Motivates and inspires volunteers to encourage teamwork. Additionally, Volunteer Coordinator evaluates and reviews volunteer schedules and makes adjustments as necessary. Ensures that the activities of the volunteer workers meet the needs of the organization. May require a bachelor's degree. Typically reports to a manager. The Volunteer Coordinator supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. General Responsibilities: Under the direct supervision of the Director of Development, the Volunteer Coordinator recruits volunteers for Haven programs and events, assists with coordinating fundraising and special events, develops and maintains relationships with sources of potential volunteers, and develops outreach material for volunteers.
General Requirements: BA required; MA helpful. Two years in non-profit setting. One-year volunteer experience. Completion of minimum required Agency Training within 6 months of employment (if not before).
AREAS OF RESPONSIBILITY:
I. VOLUNTEER PROGRAM
A. Recruits, interviews, screens, and coordinates volunteers for crisis hotline, legal clinic, children's programs, sexual assault team, client advocacy, community activities, maintenance, office work, fundraising and, in consultation with the Director of Development, any other areas to meet Tri Valley Haven’s needs
B. Recruits volunteers to assist with all Tri-Valley Haven programs and events.
C. Coordinates and supervises volunteers for special events such as: Backpack Drive, Holiday Program, DV Awareness month and others as assigned.
D. Develops and maintains relationships with potential sources of volunteers, develops outreach materials and conducts outreach for volunteer recruitment.
E. Responsible for volunteer appreciation, including volunteer week and Thank You's.
F. Responsible for developing and maintaining volunteer files which include: applications and volunteer task description, proof of training, annual evaluation volunteer feedback forms and, for volunteers for whom it is applicable, proof of car registration, current driver's license, proof of car insurance, annual printout of DMV driving record and fingerprints, with state printout on criminal activity relating to immoral conduct with minors. Other documents as needed.
G. Responsible for developing and maintaining a master list of all volunteers which includes starting date, name, address, home and business phone, type of volunteer service, anniversary award dates, (one, five and ten years), award given, and any other pertinent information. This list will be updated quarterly.
H. Responsible for collating monthly, quarterly and annual statistics on all volunteer hours served and type of service performed. These will be given to the Data Manager each month.
I. Coordinates with the Finance and Compliance Department for timely collection and compilation of client service statistics and volunteer training and service provision as needed for grants and contracts.
J. Responsible for developing and maintaining updated volunteer materials including: volunteer interest and agreement forms, volunteer feedback forms, evaluation forms, etc.
K. Responsible for overseeing the 70-hour volunteer training twice yearly.
L. Responsible for editing each program volunteer task descriptions for consistency.
II. COMMUNITY DEVELOPMENT
A. Responsible for donor database and related correspondence.
B. Assist with fundraising reports from the donor database.
C. Responsible for all grant applications up to $5,000 in all service areas. Research potential new funding sources.
D. Assists with fundraising events and special events coordination, such as Sexual Assault Awareness Month and Domestic Violence Awareness Month Activities.
III. GENERAL TASKS Performs general tasks as needed and represents Tri-Valley Haven in a professional manner. Tasks include, but are not limited to:
A. Makes community education/public speaking presentations representing Tri-Valley Haven.
B. Attends staff meetings and Board/Staff meetings as needed.
C. Participates in community fundraising and special events as needed.
D. Have a valid California Driver's License and an insured automobile that the employee will use as necessary for agency related business.
E. Must maintain a good Motor Vehicle Record (MVR) in order to be able to drive for the agency.
