Vehicle Maintenance Manager assists with the acquisition, operations, and maintenance of the organization's fleet of motor vehicles. Assigns vehicles and drivers, prepares schedules, and oversees dispatch operations. Being a Vehicle Maintenance Manager evaluates, purchases, leases, and disposes of vehicles to maintain the fleet. Develops and maintains vendor and service provider relationships for fuel, maintenance, and other essential services. Additionally, Vehicle Maintenance Manager develops and implements safety, preventive maintenance, and accident prevention programs. Knowledge of OSHA, DOT, and fleet-specific regulations, licensing, registration, and reporting requirements. May administer insurance policy coverage, negotiates agreements, and participate in claim resolution. Manages the fleet expense reporting and budgets. May require a bachelor's degree or equivalent. Typically reports to a manager. The Vehicle Maintenance Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Vehicle Maintenance Manager typically requires 3-5 years experience in the related area as an individual contributor.     Pay
    : $80,000 - $95,000 (dependent on relevant experience)

    Key Qualifications
    :
    • Experience in the management of fleet asset administration preferred
    • Must be computer proficient (including proficiency in Microsoft Office: Word, Excel, Outlook)
    • High level of attention to detail and experience with responsibility for multiple tasks required
    • Excellent organizational, coordinating, and multi-tasking skills (High level of task management)
    • Strong communication skills, both written and verbal
    • Off hour availability and responsiveness is required
    Responsibilities:

    Effective management of vehicle acquisition and maintenance for H.O. Penn and affiliated companies
    • Determine vehicle specs by dept need; order, register and plate vehicles; maintain records
    • Manage logistics of upfit and vehicle graphics processes and assist with issuance of purchase orders from upfitter(s)
    • Ensure that all driver/vehicle insurance is current
    • Provide Life-Cycle Cost Analysis data as needed
    • Analyze vehicle condition report data to determine overall condition of existing fleet
    • Stay current with vehicle industry trends through engagement of associations/resources and regular contact with manufacturer representatives
    Proper records of vehicles and expenses within provided systems through collaboration with all departments and administrative personnel
    • Code all vehicle maintenance invoices
    • Ensure monthly portions of Fleet Invoice (Rental, Misc and Fuel) are accurately coded and sent to accounting for payment Monthly reconciliation of truck list
    • Supply data to accounting for tax reporting including IRP data Processing of Unified Carrier Registration and FMCSA Form MCS-150
    Administration of vehicle tickets and notices
    • Inform drivers of monthly any Toll violations/fines and tickets/fines
    • Inform drivers/ service managers of open recalls on their vehicle and/or service fleet
    • Inform drivers/ service managers of overdue/upcoming inspection notices
    • Provide updated insurance cards to all drivers
    Effective management of vehicle check-in, turn in, and re-marketing processes including maintenance of loaner fleet
    • Coordinate with branch personnel to ensure effective check-in of newly delivered vehicles
    • Based on condition of turned in vehicles and state of current loaner fleet, determine whether to re-market turn-ins or add to loaner fleet
    • Coordinate with branch personnel to inspect and maintain turned in vehicles/loaner fleet, including initial inspection, detailing, and keeping vehicle inspections current
    • Keep a detailed inventory of all vehicles in loaner fleet including current driver, location, mileage, etc...
    • Coordinate with branch personnel to ensure effective turn in process with drive-away providers
    Qualifications:
    • Experience in the management of fleet asset administration required (or relevant experience with procurement, vehicle specs, vehicle administration, FMCSA, etc.)
    • Must be computer proficient (including proficiency in Microsoft Office: Word, Excel, Outlook)
