Administer estates, manage and settle administrative trusts, and administer closing process for all estate and personal trust accounts, including but not limited to, testamentary and intervivos trusts, charitable trusts, life insurance trusts, special needs trusts, and other agency accounts. Work with estate and trust beneficiaries, accountants, and attorneys and partner with internal colleagues in tax, operations, administration, investments, and retail to ensure accurate and timely tax payments, estate and trust termination fees, and delivery of assets.
Job Responsibilities:
- Administer fiduciary accounts and interpret fiduciary documents in accordance with applicable laws, regulations and governing documents.
- Facilitate onboarding of new estates and transition of closing trust accounts working closely with relationship managers.
- Engage with and provide a high level of communication to beneficiaries with a focus on client satisfaction and asset retention, as appropriate.
- Engage with and provide guidance to internal colleagues, including but not limited to, portfolio managers, relationship managers and other bank colleagues regarding the estate settlement and trust termination process to ensure seamless information flow and achieve settlement goals.
- Collaborate, build, and maintain strong relationships with external business partners, including accountants and attorneys.
- Maintain appropriate estate calendars and checklists, and marshal, inventory, and facilitate appraisal of assets and report to the Fiduciary Acceptance Committee as required.
- Interface with internal tax officer to determine final tax reserve and fiduciary income and estate tax payments. Calculate appropriate settlement reserves and pay settlement expenses.
- Facilitate retitling of various specialized assets including real estate, partnership interests, etc.
- Review and prepare trust & probate accountings, receipt, release and indemnification agreements. Confirm distribution instructions, initiate, and oversee asset transfers and cash distributions.
- Oversee administrative review of closing trust accounts. Check files for correct forms, codes, and review payments and transactions for accuracy. Review trust document to ensure documents are in compliance.
- Support reporting requirements to the Trust Administrative Committee including timely and accurate reporting on the real estate and estate matrix, and estate and termination fee matrix.
- Work closely with senior fiduciary officers regarding situations requiring the use of fiduciary discretion as appropriate.
- Work with appropriate colleagues regarding liquidation and investment strategies for various fiduciary accounts.
- Comply fully with all bank policies and procedures as well as all regulatory requirements.
- Maintain all appropriate training and continuing education requirements and external licenses and certifications as applicable.
- Strategically work with internal colleagues to develop new business opportunities from closing trust and estate accounts.
Candidate Qualifications
- Bachelor's Degree
- Minimum of 5 years' experience in a financial or legal services organization
- JD, LLM or other legal designation/degree preferred
- Completion of Trust Certificate and/or CTFA preferred
- Strong oral and written communication skills are required
- Excellent interpersonal skills with the ability to interact effectively with all levels of personnel, clients, and outside professionals
- Familiarity with MA and RI probate requirements and estate and income taxation
- Strong organizational skills & ability to work on multiple tasks/projects simultaneously
- Must be familiar with trust accounting systems
