    Job Description

    Summary/objective

    Nebraska Philanthropic Trust and Rainwood Development Partners are seeking an energetic, highly motivated, and vibrant Office Administrator. This position will be responsible for managing day-to-day operations of the office, communicating with clients, providing administrative assistance, managing office equipment, developing and maintaining administrative systems, and ensuring excellent customer service to clients and other visitors. This is a full-time, on-site role for someone with a strong service mindset, excellent organization skills with the ability to prioritize well, and a positive, can-do approach.

    • Greeting and Welcoming: You will be the first point of contact, welcoming visitors and clients warmly and professionally.
    • Phone Management: Handle incoming phone calls courteously and direct them to the appropriate departments or individuals.
    • Office Presentation: Keep the common areas clean and well-organized, including reception area, conference rooms, supply room, and break room.
    • Office Supplies: Responsible for ordering and managing office supplies, including monitoring inventory levels.
    • IT Support and Troubleshooting: Work with outside vendors to resolve software and hardware problems.
    • Mail and Packages: Manage incoming and outgoing mail and packages.
    • Scheduling: Coordinate appointments, conference room bookings, and business trips.
    • Administrative Tasks: Assist with various administrative tasks, such as data entry, filing, document preparation, and processing expense reports.
    • Client and Visitor Interaction: Respond to inquiries and provide information to clients and visitors in a professional and helpful manner.
    • Event and Meeting Organization: Assist with organizing both on and offsite events and meetings.
    • Business Development: Responsible for ordering business development items such as company glasses, notebooks, apparel, and holiday client gifts.
    • Company Donations: Coordinate and track company donations and contributions.

    Special skills

    • Highly motivated, self-starter.
    • Meticulous with high attention to detail, advanced proofreading skills.
    • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
    • Excellent organizational, communication, planning, and time management skills.
    • Ability to multi-task while meeting timeline expectations with constant interruptions.
