    Trust Pillar Overview 

    The DFO’s “Trust Pillar” is the department that supports the trustees in their decision-making and delegations, ensuring adequate information, compliance and record-keeping, and with their adherence to best practices for investment and asset oversight, as well as relationship management with beneficiaries and co-fiduciaries.  The trustees manage a multitude of trusts and related entities, with substantial holdings and complex structures. 

    Position Summary:  

    The primary responsibility for Paralegal to the Trust Pillar is to support the trustees with their decisions pertaining to investments, asset custody and service agreements, and loans, primarily, and distributions and administration, secondarily.  This will require close partnership with the Senior Trust Advisor (experienced attorney responsible for trust compliance, etc.) and with members (paralegals and professionals) in the legal and investment departments.  Secondarily, this paralegal is empowered to hold colleagues in the Trust Pillar accountable to the highest standards of best practices. 

    Day-to-day responsibilities would include a combination of the following: 

    • Primary: receiving and refining requests for trustee approval 
    • Primary: proactively ensuring decision contingencies (e.g., reporting requirements, information follow ups, rationales of decisions) are addressed satisfactorily, current and well recorded 
    • Primary: proactively identify and propose opportunities for more efficient delegation to the investment, legal and/or accounting departments of the DFO 
    • Primary: assist in coordinating the preparation and execution of legal documentation relating to the trusts and trust assets 
    • Secondary: proactively suggest improvements to Trust Pillar processes and procedures, plus opportunities to ensure co-fiduciaries, beneficiaries and colleagues in other pillars are familiar with how to engage effectively and efficiently with the Trust Pillar 
    • Secondary: provide back-up support to the legal and investment departments on their projects, including such tasks as are reflected in the appendix

    Qualifications: 

    • A Bachelor’s degree at an accredited higher education institution or equivalent practical experience  
    • At least five years of relevant work experience with proven track record as a paralegal or equivalent experience, with strong experience understanding contracts and/or investment documents of various types, including organizing and maintaining complex and wide-ranging documents and data 
    • Strong skills in Word; Excel; PowerPoint; MS Outlook (mail, calendar, contacts); Adobe; and cloud-based file systems, open to learning new systems and tools 
    • Strong preference for someone with experience in Trust or Estate administration

    Compensation: 

    Compensation for the role includes a competitive salary in the range from $120,000 - $180,000 (inclusive of a merit-based bonus, dependent on years of experience, level of education obtained, as well as applicable skillset) and an excellent benefits package, including a comprehensive employer paid medical plan and generous employer match for 401k.

    Appendix - back-up responsibilities in the legal or investment departments might include: 

    • Creating, filing, and tracking organizational documents and required corporate filings in multiple jurisdictions, maintaining entities in good standing, maintaining entity files, board books and other corporate formalities, and being the DFO point person to third party providers in this area 
    • Creating and managing a corporate governance calendar to help manage the multiple boards running our various initiatives 
    • Maintaining board books for select entities 
    • Maintaining and updating a master entity chart and entity structure charts 
    • Transaction support, including management of transaction checklists; closings, transaction summaries; signature pages; collation, filing and circulation of documents to appropriate parties and repositories 
    • Managing the execution, filing and recall of all contracts as well as preparation of certain contracts such as nondisclosure and vendor agreements 
    • Managing permanent legal files, deeds, certificates, and the like. 
    • Responding to archival requests and requests for legal documents and information both internally and externally 
    • Managing outside legal resources: maintaining a knowledge database of counsel, specialties, references, and evaluations; being a liaison to outside counsel, handling billing and validation as appropriate 
    • Maintaining a database for and handling all KYC requests in connection with investments and account openings; opening new bank/financial accounts and maintaining a banking information repository  
    • Opening new bank/financial accounts and maintaining bank account repository database 
    • Applying for EINs and maintaining EIN information for entities 
    • Assisting with FATCA/CRS reporting and compliance 
    • Assisting with the completion of subscription documents for investments 
    • Assisting with ethics and compliance programs 
    • Assisting with the preparation and maintenance of legal training programs delivered across the organization 
    • Assisting with organization-wide communications, such as litigation holds and terminations 
    • Serving as the legal team’s knowledge management guru and holding the larger organization members accountable for maintaining organized electronic files and tracking systems.   
    • Anticipating upcoming events and cyclical responsibilities in the foregoing spheres 
    • Performing legal research 
    • Enthusiastically take on other assignments, as needed, to support the team and Family Office
