Trust Assistant
Provides support to the Trust Officers and staff in order to meet customer needs and manage the overall account relationship. Assists with administration of Corporate Trust Accounts, IRAs, Personal Trusts, Estates, Guardianships and Agency Accounts.
Responsibilities/Duties
1. Aids officers with administrative responsibilities, such as answering phones, filing and preparation of documents. This duty is performed daily.
2. Assists in completion of new account related activities, such as account openings, preparation of account documents, CIP compliance, and various other activities. This duty is performed daily.
3. Reconciles bank statements on assigned accounts. This duty is performed as needed.
4. Scans account documentation into Trust accounting software system. This duty is performed daily.
5. Greets customers or visitors, provides assistance within delegated authority or refers them to appropriate staff members. This duty is performed daily.
6. Processes incoming mail. This duty is performed daily.
7. Prepares proxies, directors and shareholders packets for meetings. This duty is performed annually.
8. Attends annual shareholder meetings and prepares minutes. This duty is performed annually.
9. Prepares account review packets for monthly meeting of the trust and investment committee. This duty is performed monthly.
10. Cross-train to assist/cover for Trust Operations Clerk. This duty is performed as needed.
11. Track income-generating trust properties for timely remittance of rental income. This duty is performed daily.
12. Performs FinCen and OFAC downloads and scans. This duty is performed as needed.
13. Report copier and/or maintenance issues to appropriate person; order and restock supplies; prepare and send outgoing FedEx deliveries. This duty is performed as needed.
Required Qualifications
High school or GED, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc, plus 2 years related experience and/or training, or equivalent combination of education and experience.
