    Position Summary 

    A dynamic leader experienced in coordinating travel logistics within diverse settings, the Travel Coordinator at MSM plays a crucial role in facilitating seamless travel arrangements. Focused on achieving optimal contract execution, efficient product delivery, and ensuring customer satisfaction, this position serves as a vital link between Maintenance Leadership and Flight Operations.

    Essential Functions Statements 

    • Use the Windows D365 expense processing tool to process claims promptly and accurately, ensuring compliance with the relevant policy. 
    • Monitor the submission of claims, proactively addressing untimely submissions and approvals as necessary and escalating as required.
    • Build and maintain good working relationships with other departments and personnel across the business and associates in the relevant Finance teams.
    • Build a personal relationship with aircrew and ground crews due to high demand.
    • Ensure travel arrangements adhere to all legal requirements, such as obtaining passports and visas.
    • Resolve any issues arising during travel, such as delays or changes in itinerary.
    • Communicating with vendors such as airlines and hotels, and vehicle rentals.
    • Actively participate in the development of process and training materials, ensuring alignment with company policy and PMO compliance.
    • Schedule airline reservations and hotel accommodations. 
    • Provide responsive support to employees via email and phone. 
    • Additional admin tasks assigned by supervisor.

    Work Environment

    This job operates in a clerical, office setting.  This role routinely uses standard office equipment such as computers, phones, and photocopiers. 

    Physical Demands
     
    This is a largely sedentary role; however, some physical abilities may be required. 

    Position Type and Expected Hours of Work

    This is a full-time position with a general schedule from Monday through Friday, 8:00 a.m. to 5:00 p.m. However, flexibility is a key aspect of this role, and working hours may be adjusted based on department and business needs. Exempt employees are expected to be on call and available as necessary to meet dynamic business requirements. Non-exempt employees may be asked to work beyond 40 hours per week, pending approval from the department manager.

    Required Education, Experience, and Certificates
     

    Education: High School Diploma or equivalent and one to three (1-3) years of administrative experience.

    Experience: One to three (1-3) years’ experience in an administration function dealing with travel coordination.

    • Demonstrated experience working independently and as a member of a team.
    • Experience prioritizing assignments to complete work promptly under the pressure of deadlines and interruptions.
    • Administrative support experience, including strong organizational skills, and ability to exercise independent judgment, and the ability to discern when action of a higher level is required.
    • Knowledge 
      1. D365
      2. Computer Skills: 
        • Proficient in Microsoft Office Suite Products (Excel).
        • Adobe
      3. Concur travel system. (Preferred).

    Certificates and Licenses: 

    • Valid Driver’s License 

     

    Preferred Education, Experience, and Certificates
     Education: 
    Bachelor’s Degree; OR demonstrated capability to perform job responsibilities with at least one (3) year of previous relevant work experience.

     

    Additional Eligibility Qualifications
     Must be able to accomplish all duties with little or no assistance.
     Must have good command of the English language; oral and written.
     
    Work Authorization/Security Clearance
     
    Employee must be a US citizen. 

    Employee must be able to have and maintain a Secret clearance.
