    ESSENTIAL FUNCTIONS: This position reports to the Finance & Accounting Manager and is responsible for all aspects of employee travel, beginning with reservations and ending with processing of travel expense reports. Primary duties include organization of all employee travel reservations including air travel, hotel, and rental car, in accordance with contract requirements and individual task directives. Position often requires handling multiple travel groups at one time, traveling to various locations, and often with short notice. The Travel Coordinator is responsible for determining need/amount of travel advance funds for employees who are not issued a company Travel Card.

    Job Requirements

    GENERAL DUTIES: The Travel Coordinator acts as primary POC for all travel related activities. Demonstrates and ensures customer service as #1 priority through delivery of prompt, friendly, knowledgeable, and professional assistance of all employees.

    • Maintain user help desk, respond to inquiries about the expense reporting application, provide support and engage in solutions to user problems to ensure user satisfaction and productivity.
    • Responsible for all aspects of employee travel, beginning with reservations and ending with processing of travel expense reports.
    • Process travel requests in accordance with company policy in Concur travel platform.
    • Monitor travel inbox in Outlook.
    • Reconcile unused portions of travel advance funds where funds are due back to company. Ensure system audit rules, reminders and system settings are operating properly and employee data is properly updated and activated.
    • Utilize Concur to audit & process expense reports daily to ensure compliance and provide ongoing support to RT&T employees.
    • Process various reports using CONCURs reporting platform.
    • Train and troubleshoot on expense management system for all RT&T employees. Cross train on all aspects of travel for purposes of illness, vacation, or emergencies. Identify, capture, and communicate exceptions to policy to management.
    • Recognizes/corrects per diem, lodging and meals and incidental rates, CONUS and OCONUS, of all travel requests.
    • Organization of all employee travel reservations including air travel, hotel, and rental car, in accordance with contract requirements and individual task directives.
    • Position often requires handling multiple travel groups at one time, traveling to various locations, and often with short notice. Responsible for determining need/amount of travel advance funds for employees who are not issued a company Travel Card. Prepares and maintains program related reports, updates financial spreadsheets and databases, and maintain contract compliance.
    • Prepares all expense reports for reimbursement upon employee’s return from travel or monthly interim reports for long-term travelers. Responsible for collection of all required receipts; review of expenses using independent judgment to ensure compliance with travel policy.
    • Coding of charges to proper tasks/accounts. Entry into Costpoint Accounting System and distribution of funds to employees. Must prioritize duties to ensure all expense reports are prepared, reviewed, and signed in a timely manner and ensure employees receive reimbursement by the next available Accounting check cycle.
    • Responsible for collecting money due to the company upon an employee’s return from travel if an issued travel advance was not fully utilized in the course of required travel. Required to maintain and distribute a weekly TDY report to be used in conjunction with other data for Government reporting requirements.
    • Resolves, responds to and proactively anticipates needs and concerns and initiates actions for problem resolution. This position will also provide general accounts payable support including but not limited to voucher entry, reviewing, scanning, & filing.

    OTHER DUTIES: Back-up duties include assisting with travel coordination and credit card processing. Additional duties may be assigned to support contract/mission support requirements in job-related areas. Work may require occasional overtime and travel. Must have good vocal skills and be able to work in a group/team environment.

    EDUCATION/EXPERIENCE REQUIREMENTS: Position requires at least 2 years of directly related experience with Joint Travel Regulations (JTR). Must possess in depth knowledge of the JTR, including interpreting and applying regulations to ensure compliance of allowable & reimbursable costs for Government contract travel. Requires excellent organization and communication skills (verbal and written) to coordinate O&M Contractor travel based on contract requirements and travel location availability of flights and hotels. Applicant must be a forward thinker who can anticipate and mitigate travel delays.

    Experience with AP-related business systems, including Deltek Costpoint and Cognos, and SAP Concur preferred. Knowledgeable of SPOT, coordinating foreign travel with other DoD components, pre-travel training requirements; and pre-travel health screenings/checks is desired. 2 years CONCUR travel and expense platform preferred. Experience providing training for CONCUR users preferred.

    OTHER REQUIREMENTS: This position requires successful completion of a National Agency Check, with Investigation (NACI). Candidates must submit to a NACI and must be eligible to obtain and maintain a security clearance. All selected candidates must undergo and successfully pass a background investigation and drug test as a condition of placement into this position. Supports E-OMS operational objectives. Observes company Quality, Safety, Environmental, Security and Administrative policies; supports Process Improvement.

    WORK ENVIRONMENT: Work activities are normally performed in an environmentally controlled area in an office setting on Eglin AFB, FL.

    PHYSICAL DEMANDS: This position will require the substantial movements (motions) of the wrists, hands, and or/fingers. Must be able to have close visual acuity to perform activities such as viewing a computer terminal.
