Training Assistant is responsible for clerical and administrative duties related to the delivery of training and organizational development programs. Schedules training events, coordinates with instructors, obtains and distributes required instructional materials, and communicates schedules and details. Being a Training Assistant processes enrollments and answers routine inquiries regarding courses, schedules, and locations. Uses an information system or database to enter data and produce reports on training statistics, inventory levels or assessments of the programs and instructors. Additionally, Training Assistant coordinates additional services including technical equipment, meals and refreshments, housekeeping, maintenance or repairs. Requires a high school diploma or its equivalent. Typically reports to a supervisor. The Training Assistant possesses a moderate understanding of general aspects of the job. Works under the close direction of senior personnel in the functional area. May require 0-1 year of general work experience. (Copyright 2024 Salary.com)

    It is an entry level position with the opportunity to grow.

    This job is Monday through Friday.

    35 hours per week - $18.00-$19.00/HR - DOE

    Fluent in Somali, Dari, Arabic or Spanish is a big plus!!

    SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES:

    1. Possess good interpersonal and communication skills.

    2. Must recognize when a sense of urgency is needed and handle emergencies when brought to her/his attention.

    3. Knowledge of MS Office (Excel, Word, Outlook)

    4. Must be able to handle stressful situations and people.

    5. Must be able to organize and perform duties independently.

    6. Maintain confidentiality consistent with federal, state, local and agency rules, and regulations.

    WHAT YOU’LL DO:

    Perform receptionist duties; operates a 4-line switchboard telephone.

    Answer phone calls and direct callers to appropriate staff; take and retrieve messages including from mailbox.

    Handle telemarketer’s calls and take appropriate action to obtain information about caller.

    Greet and direct visitors; refer clients to appropriate case managers

    Assess client’s eligibility status depending on program requirements by utilizing standardized flow chart and eligibility questions.

    Ask pertinent questions to customers, including appointment time, reason for visit and direct those to staff.

    Data entry and filing

    Will provide support to case managers when needed

    Prepare and deliver reports that may be required for the efficient operation of PSTC programs

    Upon receiving a new intake application for any of PSTC programs, it is the responsibility of this person to review the intake application for accuracy and missing information.

    Extremely important to keep information accurate and complete in PSTC data bases.

    OTHER DUTIES AND RESPONSIBILITIES

    · Participates in all staff meetings.

    · Maintain knowledge of specific WorkFirst regulations as published by DSHS and or developed by PSTC.

    · Assist in the planning and activities designed to further goals of PSTC projects and they are developed.

    · Prepare and deliver reports that may be required for the efficient operation of PSTC programs.

    · Ensuring that everything runs smoothly at the front desk

    · Perform other duties as assigned by manager.

    Sick leave and vacation available after 90 days.
