Under the supervision of the Manager of Surgical Services or their designee and in collaboration with materials management, the Inventory Coordinator performs various duties involving coordinating supply, equipment, and implant needs of Surgical Services, related inventories, and equipment control activities. He/she is responsible for direct order inventory of all assigned areas, monitoring of FDA tracking, product recalls, and records activities for B and related areas. Ensures that the quality of work produced meets or exceeds all customer expectations. Other duties as assigned.
Job Responsibilities:
1) Manages inventory of all assigned Surgical Services areas
2) Coordinates surgical services inventory. Completes purchase requisitions and coordinates with Surgical Services, Purchasing Agents, Manufacturers, or Distributors. Accurately inputs orders into the Materials Management system. Reviews and proactively reacts to stockouts and other supply shortages. Communicates in a timely fashion to Surgical Services Leadership when investigating potential alternatives.
3) Maintains up-to-date par carts and profiles by service in the Materials Management Inventory system and Surgical Information system, adding or deleting products as needed. Utilizes BH Warehouse to effectively standardize products and reduce special order shipments when a product is available at BH Warehouse.
4) Investigates and processes specialty orders as requested by clinical staff and Surgical Services leadership, including but not limited to total joints, eye lenses, tissue, etc.
5) Establishes and exhibits a working knowledge of inventory management, inventory systems, and surgical services computer applications and assists relief personnel with the knowledge necessary to cover vacations and illness effectively.
6) Shelves and assesses the expiration/storage status of all products delivered, ensuring appropriate product storage, rotation, and patient safety.
7) Monitors all FDA implantable items per established standards. Responsible for internal and external product recalls. Works with BHS for reporting results of recalls and impact on the different hospitals. Fills out all manufacturers' paperwork and obtain an RGA (return goods authorization number) for products in question. Trac Core Super User: Will Trac Core dashboards and reports to maintain a perpetual tracking log of all biological/allograft implants to include patients' names, dates, time, and product identification tracking (part number, lot number, serial number, packaging integrity, etc.) as required by regulating/accrediting organizations. In coordination with the ANM, will audit and present results to NM for reporting at various committees.
8) Works with Sterile Processing and Operating Room staff to ensure proper charge/implant capture is realized
9) Reviews the surgical schedule daily, meets with Surgical Services Leadership weekly and as needed to review surgery schedule, ensuring that supplies, equipment, and implants have been ordered and due for receipt, proactively preventing surgical delays. Effectively communicates and works collaboratively with SPD, Purchasing, BH Warehouse, and Surgical Services staff regarding equipment, inventory, implants, and supply concerns. Maintain professional relationships with all levels of management and staff from other departments and divisions within the Health System.
10) Communicates with vendors on a regular basis.
