We are looking for someone with advanced organizational skills to support our CEO in Ft. Myers, FL.With at least 10 years direct experience, our ideal individual will directly and positively impact our CEO’s effectiveness and efficiency via the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant must have the ability to work independently and be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.For those interested in a new challenge with a successful smaller company this is an excellent opportunity. We are open to accommodating a schedule of 30-40 hours per week in a hybrid environment.The essential responsibilities of this role include but are not limited to:
- Makes the CEO more efficient and effective by: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Successfully completes critical aspects of deliverables with a proactive approach.
- Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines
- appropriate course of action, referral, or response.
- Works closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
- Manages a variety of special projects
- Uses advanced Microsoft office skills including Microsoft Teams, Outlook, OneNote, Excel, and Word to increase efficiency.
- Provides office management support to the Ft. Myers executive office
