    WE ARE SEEKING: A dynamic Executive Assistant to support the Executive Suite and other members of the senior leadership team.

    YOU WILL BE RESPONSIBLE FOR:

    • Managing calendars and contacts utilizing Microsoft Outlook.
    • Scheduling meetings, including booking meeting space and arranging for catering and setup as necessary.
    • Scheduling all Board and sub-committee meetings (in person and/or online) as well as management committee meetings.
    • Creating Board/Committee meeting packages and manages digital Board/Committee porta.
    • Taking and circulating minutes for all Board, Committee and management committee meetings.
    • Submitting requests for payment of Board/Committee fees to Finance Department.
    • Coordinating Annual Information Request from Board members.
    • Coordinates review and approval of Board/Committee minutes.
    • Completing the DLLR Annual Bank Information Update.
    • Preparing expense reports and submitting to Finance department.
    • Handling registration for training and conferences, including making travel arrangements as necessary.
    • Preparing correspondence; uploading and electronically filing documents.
    • Assisting with policy management, including updates and review requirements.
    • Creating, preparing and/or printing presentations for meetings.
    • Special projects as directed.
    • Maintaining strict confidentiality of all sensitive and confidential information.
    • Additional tasks as assigned.

    YOU SHOULD HAVE:

    • Bachelor's degree is strongly preferred, high school diploma or equivalent required; and at least five 3-5 years’ related experience.
    • Advanced level ability in the Microsoft Office Suite: Word, Excel, PowerPoint.
    • Highly Organized and able to multitask.
    • Excellent written and verbal communication skills.
