JOB SUMMARY
Serves as executive assistant to the CAO, works as an effective, positive team member in supporting all activities and responsibilities of the Office of Academic Affairs, and contributes to a culture of Christlikeness, excellence, belonging, integrity, and service.
RESPONSIBILITIES
Essential Functions:
Communicates regularly with faculty, staff, students, parents, and stakeholders on behalf of Academic Affairs.
Provides administrative help to Academic VPs on an as needed basis.
Assists with the planning of faculty meetings and workshops which may include organizing social aspects of faculty events such as special dinners, receptions, etc.
Works in support of the CAO and VPAAs for the Board of Trustees meetings.
Collects Faculty Activity Reports to prepare reports such as the annual SNU Faculty Scholarship & Professional Activity Booklet.
Updates faculty and department lists annually.
Maintains full-time faculty files and assists in faculty rank advancement eligibility
Helps prepare faculty contracts in the spring.
Maintains records for adjunct files for the College of Undergraduate Studies
Notetakes and keeps records of faculty standing committees as needed.
Prepares the university academic calendar in conjunction with the CAO and VPAAs including committee and council meetings on the academic calendar.
Keeps track of academic integrity violations and communicates with appropriate VPAAs and faculty.
Manages faculty professional development funds and Academic Affairs financial transactions including licensing and accreditation fees.
Assists in scheduling of administrative interviews during the search process for new faculty.
Organizes the selection process for various academic awards and recognitions.
Assists in the maintenance and updates of the undergraduate and graduate academic catalogs each spring.
Participates with the University Marshals, CAO, and VPAAs on planning and executing commencement events each December and May.
Collects information to prepare the Honors Ceremony program prior to the May Commencement.
Additional duties as assigned.
Required Qualifications:

Bachelors Degree.
Minimum of two years of related work experience and/or relevant training.
Possess strong verbal and written communication skills.
Ability to remain flexible in assisting a CAO and three VPAAs.
Ability to prioritize multiple demands in the fast-paced work environment.
Experience with various computer software applications including Microsoft, Google, and Adobe products.
Data entry experience.
Ability to work with discretion and maintain strict confidentiality with faculty contracts, student records (FERPA), etc.
Ability to work under pressure and meet deadlines.
Ability to maintain positive interpersonal relationships.
Ability to work independently
Ability to operate office equipment.
Ability to provide quality customer service.
Preferred Qualifications:
Creative design experience
Event planning and hosting experience
Experience in higher education
Supervision Received:
Receives supervision from CAO and some work assignments from Academic VPs.
Supervision Exercised:
May be responsible for coordinating work assignments for student employees and volunteers.
