Qualifications: To perform this job successfully, an individual must have practical job experience in assisting an executive position or administration. This includes knowledge of business and management principles including coordination of people and resources, handling confidential information, expense reports, and ensuring the office of the COO functions smoothly. Individual must be self-motivated, maintain calm under pressure, have a proven ability to work independently, be organized, and detail oriented in order to simultaneously manage multiple tasks efficiently and effectively. Individual must have excellent interpersonal and communication skills in order to represent the organization in a positive manner to existing and potential members, partners, and to the public. This position requires above average knowledge and understanding of English grammar. That includes knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar. Bachelor’s degree (B.A.) from a four-year college or university or high school education/GED equivalent required, or 3 - 5 years’ experience in administrative support, management of projects, personnel and high-level volunteers.
Essential Functions:
▪ Maintain the COO's calendar and schedule appointments.
▪ Answer and return phone calls in a timely manner. Screen voicemail, electronic and paper mail, handle routine/non-routine matters, and draft correspondence on behalf of the COO as appropriate.
▪ Manage travel arrangements and changes to travel for the COO. Generate and process travel expense reports and reimbursement documents. As directed, assemble materials, data, reports, etc. in preparation of travel.
▪ Organize and coordinate meetings.
▪ Gather and compile requested information, perform research as assigned.
▪ Draft reports, prepare presentations, coordinate conference calls including dial-ins, WebEx, video, etc.
▪ Prepare correspondence; maintain records and/or CRM content with some interpretation of data.
▪ Relay instructions and information across teams and/or departments and follow commitments through to completion with a high level of detail.
▪ May assist with coordinating cross-functional project timelines.
▪ Maintain the COO's electronic and paper files. Help manage COO's contacts in relationship management database. Must have knowledge of all member/event management and digital archiving software used by the organization, as well as a working knowledge of Microsoft Office Suite products.
▪ Receive and interact with incoming visitors, external clients, members, and associates on behalf of the COO. Competently manage situations in their boss's absence when appropriate.
▪ Review operating practices and implement improvements where necessary.
▪ Make reservations and run errands in immediate geographic area.
▪ Occasionally work offsite/travel with COO.
▪ Perform additional duties/tasks as assigned
