    The Volunteer Services Department connects volunteers to local needs and builds the capacity of local nonprofits by providing expert guidance and professional resources.

    Position Overview: Reporting to the Director of Volunteer Services, this position coordinates with Volunteer Services Managers including CVNL staff, volunteers, partner organizations, AmeriCorps members, and community stakeholders to ensure the success of highly impactful volunteer programs in all service areas. The Program Coordinator helps to create impactful and meaningful volunteer projects. This position provides direct programmatic, administrative, and event-planning support to Volunteer Services staff in Marin, Sonoma, Solano, and Napa Counties. They work respectfully with diverse populations and cultures from varied communities and partner organizations.

    Responsibilities & Duties:

    Under limited supervision, the Program Coordinator will collaborate and coordinate with other Volunteer Services Staff to perform advanced program coordination duties including the development of programs, policies and procedures; community outreach and the planning of volunteer projects; program content creation; event planning and portal training. Assignments are given with general guidelines and incumbents are responsible for establishing objectives, timelines, and methods to deliver work products or services. Work is typically reviewed upon completion for soundness, appropriateness, and conformity to policy and requirements.

    • Collaborate and Coordinate the program development, event-planning, outreach, and marketing related to, but not limited to: Days of Service events, disaster preparedness education initiatives, virtual and in-person presentations on volunteerism and disaster services, training workshops, and other activities as assigned.
    • Coordinate departmental processes and meetings related to grant management and departmental budget management.
    • VolunteerNow.Org / Volunteer Matching Portal: Update web pages and portals and complete administrative portal tasks, using WordPress or similar programs. Suggest content and streamlining improvements on an ongoing basis. Mentor AmeriCorps Members learning to co-create and co-facilitate portal training. Provide technical support to Volunteer Managers and volunteers. Main point of contact for tech vendors
    • Volunteer Management: Develop and maintain a volunteer training and orientation program. Conduct multiple recruitment sessions. Manage volunteers including evaluations and recognitions.
    • Create, compile and aggregate data on programs for regular reports.
    • Update project-related data and online records using a Salesforce-based platform.
    • Support volunteers and program partners who call, email, text, or visit the office and coordinate outreach to new volunteers and new nonprofit partners. Identify additional outreach opportunities.
    • Work closely with the Marketing & Communications team: Create hard copy content for upcoming events, using Canva or similar program. Send timely and relevant information to the public. Coordinate marketing/social media for ongoing projects.
    • Promote community volunteerism by distributing outreach materials.
    • Provide administrative and logistical support during disasters as a part of CVNL’s Emergency Volunteer Center program.
    • Provide suggestions and improvements to department’s SOP
    • Perform other duties as required
    • The positions essential responsibilities and allocation of time may change annually based on community need and /or obligations related to funding


    Requirements

    • Proven knowledge of program management and procedures
    • BS or BA in Business Administration or similar preferred
    • 4 years administrative and/or programmatic experience preferred
    • 1-2 years of administrative and programmatic experience preferred
    • Demonstrated success using databases such as Salesforce
    • Tech savvy, proficiency with MS Office, Outlook, and Google Suite
    • Familiarity with marketing programs such as Canva
    • Knowledge of budgeting and reporting
    • Highly motivated, detail and results oriented
    • Outstanding verbal and written communication skills
    • Bilingual in Spanish highly preferred
    • Ability to work both independently with limited supervision
    • Ability to work within team and take direction from multiple sources
    • Strong customer service skills (phone, email, text, in-person)
    • Event coordination experience preferred
    • Supervisory experience preferred
    • Proven ability to work effectively and respectfully with diverse groups of varying cultures, ethnicities, age groups, abilities, etc.
    • Must have reliable transportation, a valid CA driver’s license and proof of auto insurance.
    • Physical & Travel Requirements:
    • Ability to work occasional nights and weekends to support events/special projects (advance notice given).
    • Travel throughout Marin and the Bay Area.
    • Ability to lift and/or move up to 25lbs.
    • Ability to perform computer work.

    Compensation:
    The budgeted starting hourly rate that CVNL reasonably expects to pay for this position is $23.67 per hour. This takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, external market comparisons for similar positions in similar geographic locations and size. Offers are determined based on final candidate qualifications and experience.
