Summary:
Experienced in handling a wide range of management tasks with the ability to represent the Directors of both the Finance and Operations departments. This person must be exceedingly well organized, flexible and enjoy solving complex problems. The ability to consult with department staff and district administration in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Strong written and verbal communication skills, sound decision making and problem solving ability, and attention to detail are equally important.
Essential Duties & Responsibilities:
- Provide secretarial/administrative support to the Directors of Finance and Operations
- Act as the office manager for the Finance | Operations staff
- Direct departmental communications
- Create and prepare departmental communications and presentation materials
- Assist in the creation and submission of necessary reports to the school board, superintendent, department of education, counties, cities and other essential entities on behalf of the departments and the district
- Collect, research, review and summarize miscellaneous reports and documents
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
- Coordinate and manage process improvement initiatives to improve efficiency
- Maintain departmental records and activities
- Supervise scheduling for the Directors of Finance and Operations
- Serve as the school district’s election coordinator by administering, coordinating, and managing all aspects of School District elections, both School Board and referenda
- Coordinate the district’s risk management program, including processing and maintaining accident and incident reports, claims, and lawsuits falling under the School District’s liability, vehicle, and property insurance coverage
- Make weekly treasury deposit
- Collaborate with other departments to provide Office Coordinator training each fall
- Establish and maintain favorable working relationships with the public, other district personnel, community, and board members with whom the work brings contact
- Other duties as assigned
Required Qualifications:
- Bachelor’s Degree (or 4 years of equivalent experience)
- Minimum 3 years working in an office environment
- Ability to understand school business operation functions (accounting, budgeting, payroll, nutrition services, transportation, etc.)
- Proficient with technology and experience with multiple software programs including: Skyward, Infinite Campus, Frontline, Boardbook, Google Suite, and Microsoft Suite
- Self-motivated with the ability to organize and prioritize work assignments
- Excellent typing, oral, and written communication skills
- Ability to maintain confidentiality
- Excellent interpersonal skills in dealing with a wide variety of people
- Ability to meet deadlines, multi-task with frequent interruptions, and work under pressure
Preferred Qualifications:
- Bachelor's Degree in a business-related field
- Experience with municipal elections
- Experience working with a governing board
- Experience with insurance policies and/or claims processing
Work Environment:
