(SNS) is a nonprofit multipurpose community resource agency providing senior citizens and persons living with disabilities with information, guidance and assistance in coordinating existing resources to promote independence and the highest quality of life. Through our seven unique direct services programs, Senior Network Services serves over 12,000 clients each year, and is growing. A longstanding part of the non-profit community, Senior Network Services has served Santa Cruz and San Benito County seniors since 1974.

    Executive Administrator

    JOB DESCRIPTION

    Reporting directly to the Executive Director (ED), the Executive Administrator is responsible for supporting the E.D., the Board and leadership in SNS’ day-to-day operations, fiscal and all executive functions. The Executive Administrator will ensure timely responses to funders, staff, Board, donors, vendors and other inquiries and needs. The Executive Administrator keeps the organization functioning smoothly by addressing operational, fiscal and executive needs proactively and resolving matters promptly, assisting the ED in building and maintaining systems and ensuring the maximization of resources and revenue. The Executive Administrator will also be responsible for organizational insurance compliance and fiscal support across the organization through independent action and requests of the ED and Director of Finance.

    GENERAL DUTIES AND RESPONSIBILITIES

    • Assist the ED and Director of Finance with banking, accounts receivable and payable, payroll, and other fiscal administrative responsibilities as needed by other Directors via the SAGE Intacct platform;
    • Assist in managing day-to-day executive operations, including correspondence, staff communications;
    • Overseeing technical systems, equipment, and some vendor logistics;
    • Create and utilize calendaring and tracking systems for invoices, licenses, insurance policies, reporting, etc.;
    • Communications with clients, staff, donors, and community partners;
    • Provide support with donor acknowledgements;
    • Assist with staff onboarding and exiting procedures;
    • Participate in funder compliance matters;
    • Oversee management of programmatic activities as assigned;
    • Assist others in coordinating facilitates management;
    • Board engagement;
    • Oversee the Office Assistant for general clerical duties - copying, filing, scanning - as needed;
    • Conduct requested research;
    • Build operational systems as required;
    • Learn and manage new tech systems as required;
    • Become DOJ certified for background checks of new staff;
    • Other duties may be assigned.

    KNOWLEDGE, EDUCATION, AND EXPERIENCE REQUIREMENTS

    • B.A./B.S. in Business Administration, social sciences or relevant field preferred, with minimum two years office/executive management required, preferably with a non-profit organization;
    • Experience using databases;
    • Experience creating, editing and curating correspondence and public facing content preferred but not required;
    • Ability to create infographics desired but not required;
    • Knowledge of social, economic and organizational aspects of community-based programs, community resources, and senior services highly desired.

    OTHER REQUIREMENTS

    • Excellent computer and technology skills, including Google Suite, Microsoft;
    • Experience with Basecamp, SAGE Intacct and Salesforce desired, but not required;
    • Excellent communication skills required;
    • Ability to work independently required, this is a role for a self-starter who can thrive in a dynamic and fluid working environment;
    • Strong attention to detail and excellent organizational skills required;
    • Excellent time-management skills required;
    • Fingerprinting and background check required;
    • Must provide a completed COVID-19 vaccination card, with or without accommodation.

    HOURS/BENEFITS

    • Full-Time: 30-35 hours/week; Hourly; Non-exempt
    • Employer-provided health, dental and vision insurance and EAP plan at 100% for staff member
    • $28.00-$30.00 per hour, dependent on experience
    • Flexible schedule during business hours possible
    • Voluntary participation in employer-sponsored 403 b retirement plan
    • Generous PTO and holiday time off (16 days this year)
