Responsibilities:
- Provide high-level administrative support to the owner of the company.
- Manage and maintain executive schedules, including arranging appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, quarterly production reports, and other documents using Google Suite and Microsoft Office.
- Coordinate and facilitate meetings, conferences, and events, including preparing agendas and distributing materials.
- Handle confidential information with discretion and maintain strict confidentiality at all times.
- Perform general clerical duties such as data entry, filing, photocopying, scanning, and faxing.
- Answer incoming calls and direct them to the appropriate person.
- Greet visitors and direct them to the appropriate meeting or office.
- Manage office supplies inventory and place orders as needed.
- Assist with special projects as assigned.
Skills:
- Proficient in using Google Suite (Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint).
- Familiarity with DocuSign or other electronic signature platforms.
- Strong proofreading skills with excellent attention to detail.
- Ability to organize and prioritize tasks in a fast-paced environment.
- Articulate verbal and written communication skills.
- Strong interpersonal skills with the ability to interact professionally with all levels of staff and external contacts.
- Ability to transcribe meeting minutes accurately.
- Knowledge of office procedures and basic accounting principles.
