Executive Assistant to the CEO
Job description: As the Executive Assistant to the CEO, you will play a critical role in supporting the CEO in his daily activities and ensuring a smooth operation of the executive office. This position requires a highly organized detail-oriented individual with excellent communication and interpersonal skills, as well as the ability to handle sensitive information with confidentiality and discretion.
Responsibilities:
1. Calendar management: Efficiently manage the CEO’s calendar including scheduling meetings appointments and travel arrangements anticipate scheduling conflicts and proactively resolve them to optimize the CEO’s time.
2. Communication: Serve as the primary point of contact for internal and external stakeholders screening and prioritizing communication as necessary draft and prepare correspondence emails and other documents on behalf of the CEO.
3. Meeting Coordination: Prepare agendas, materials, and presentations for meetings attended by the CEO. Take accurate minutes and follow up action items to ensure timely execution.
4. Travel Arrangements: Coordinate travel logistics for the CEO including booking flights, accommodations, transportation, and preparing travel itineraries. Anticipate and address any travel related issues or changes.
5. Information Management: Maintain and organize filing system for important documents records and contacts ensure that the CEO has access to relevant information and documents when needed.
6. Executive Support: Provide administrative support to the CEO as needed including expense reporting, budget tracking and other tasks to facilitate their day-to-day activities.
7. Project Assistance: Assisting the CEO and managing special projects and initiatives, conducting research analyzing data and preparing reports as required.
8. Confidentiality: Handle confidential and sensitive information with the utmost discretion maintaining a high level of professionalism and integrity at all times.
9. Relationship Management: Cultivate positive working relationships with internal and external stakeholders representing the CEO’s office with professionalism and diplomacy.
Qualifications:
· Bachelor’s degree in business, Administration Management, or related field preferred.
· Proven experience as an executive assistant or similar role supporting C- level executives.
· Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
· Strong written in verbal communication skills with meticulous attention to detail.
· Proficiency in Microsoft Office Suite and other relevant software applications
· Ability to exercise sound judgment and discretion when handling competitive information bullet point flexibility and adaptability to accommodate shifting priorities and unexpected changes.
· Professional demeanor and strong interpersonal skills with the ability to interact effectively with individuals at all levels.
· Experience in project management and research capabilities are a plus.
· Experience working as an assistant in the financial services sector is a HUGE plus!
