    Position: Executive Assistant / Office Coordinator

    Purpose:

    This role supports the efficient operation of general office functions at the Englewood location while supporting the executive team with administrative support.

    Success Factors:

    • Thinks of the small details behind executive meetings and activities to make them flow seamlessly and allow for productive executive meetings and work time by handling all of the administrative support.

    • Is able to maintain the strictest of confidentiality while dealing with executive information, schedules and activities.

    Responsibilities:

    Executive Assistant:

    • Assists Executive Team with calendar management, travel arrangements, and trip activities, as well as event planning and logistics for locally hosted events. Provides general administrative and clerical support as needed.
    • Prepares executive expense reports.
    • Is the primary point of contact for arranging executive and company events. Partners with marketing for sales and customer events support and administration.
    • Manage the company meeting schedule, presentation content, communicating to employees, arranging for lunch in Englewood and Commerce City.
    • Manages the schedule and invites for “Lunch with the Executives” and “New Hire Meet the Executives” lunch.
    • Manages Avalanche tickets and other customer gifts.
    • Coordinates and organizes the Colorado holiday party and recognizes remote employees.
    • Coordinates and organizes the ACE Values Award and Sales Excellence trophies and celebration dinner.
    • Is the coordinator of Emerson Exchange in partnership with sales leadership to enroll selected participants, book travel and reserve hotels, arrange customer dinners and events.
    • Books travel for those who travel infrequently and may not have a corporate credit card.
    • Negotiates and manages hotel lists and discounts.
    • May be asked to prepare Powerpoints or other materials for the executive team.
    • May be asked to support recruiting or general human resources functions.
    • Provides general office administrative support for the Englewood location.
    • Is responsible for records management of MSA/contracts in the customer folder, maintains customer data, NAICS codes, salesperson account mappings. Is the owner of the Customer Agreement Folders across the organization.
    • Performs other duties and projects as assigned.

    Office Coordinator:

    • Sits at the reception desk and welcomes visitors, customers and others.
    • Oversees general office functions to ensure ease of access and quality facilities for meetings, teams and functions interacting within the buildings.
    • Orders building, office, equipment, and snack/refreshment supplies. Ensures adequate backup materials are available and organized.
    • Sets up and cleans up after meetings including training room for training courses and conference rooms for company meetings.
    • Handles catering for onsite, company sponsored meetings. Coordinates, orders, setups up and directs onsite events such as company cookouts, open houses, or other company sponsored activities held onsite. Manages snacks for executive and customer meetings.
    • Is the primary contact for service functions such as janitorial, office equipment, maintenance, coffee services, and other vendor agreements, management, and invoice processing. Coordinates and oversees servicing activities.
    • Manages the main kitchen and smaller kitchen to ensure supplies are stocked, coffee is made and the area is clean and welcoming.
    • Engages in light housekeeping activities to ensure all common work areas in the building are stocked, clean and ready to be used.
    • Manages family photos in reception area and other artwork and art tags throughout the building.
    • Set up workspace, name plates and provides general office orientation for new hires.
    • Clears out workspace for exiting employees to ready the work areas for other uses.
    • Handles offsite storage vendor and box management.
    • Serves as a backup on phones for reception during breaks, lunches, or time off. May back up business card ordering.
    • Performs other duties as assigned

    • Demonstrated planning and organization skills along with strong proactive thought processes to address the “behind-the-scenes” details that make for smooth office and sales activities and events.
    • Strong attention to detail, accuracy, and thoroughness. Ability to monitor/proofread own work to ensure quality.
    • Well versed in dealing with executives to drive efficiency and productivity.
    • Professional and welcoming demeanor to serve as the face-of-the-company” when covering customer facing activities. Positive attitude and good work ethic. Dependable, punctual, responsive to management’s direction, respectful to coworkers, willingness to take ownership/accountability and go the extra mile.
    • Advanced clerical and PC skills include experience using Microsoft PowerPoint, Word, and Excel.

    Working Conditions:

    Includes working primarily in an office setting, with occasional assignments outside the office. This position may require a flexible schedule if there are training events or customers in the building on an occasional basis. The role is assigned to a five day per week schedule with office hours of 7:30 to 4:30 generally.

    Physical Requirements:

    Sitting, standing, walking, talking, hearing, seeing, bending, stooping, lifting & carrying. Ability to sit for extended periods of time from time to time working on a PC. Ability to reach frequently with both hands and arms, and operate standard office equipment. Ability to lift boxes of moderate weight ( /- 20 to 25 pounds) and carry them short distances.

    Compensation:

    Rate range: $27.00 per hour to $33.00 per hour. Prior work experience supporting executive-level teams is required. For candidates with 5-10 years related experience, the starting wage could expand to $41.00 per hour. Office management experience is preferred. This position is eligible to participate in profit sharing program.
