    Position Summary

    SunMed is seeking an Executive Assistant to support the CEO and other designated executives with duties including general office management and administrative support. The position is located at our corporate office in Grand rapids, MI and will require an on-site presence.

    Position Qualifications

    The specific minimum competencies needed to perform the essential duties of the job include knowledge, skills, abilities, level of education, and experience necessary for successful performance.   These competencies are generally demonstrated through specific service, education, or training.

    Knowledge:  

    The ideal candidate for this position will be proficient in all Microsoft Office products including Excel and PowerPoint, and has experience coordinating onsite events, including coordinating meals, hotels and travel for those visiting the corporate office.  This candidate will have strong time management and attention to detail skills. 

    Level of Experience:  

    7-10 years of administrative experience (executive level preferred). 

    Level of Education:  

    Associate degree or equivalent experience required, Bachelor's degree preferred. 

    Travel:    

    <10% 

    Essential Duties and Responsibilities

    • Providing day to day support of the Senior Executive Team.
    • Support travel arrangements, reservations, flights, and rentals.
    • Assist with the coordination of onsite meetings, meals, hotels, and travel details for those visiting the corporate office.
    • Prepare and review documents for internal meetings, board meetings and other related events.
    • Set and manage daily schedules and calendars for company executives.
    • Prepare and/or edit documents, such as, expense reports, memos and invoices.
    • Create spreadsheets, manage database, and prepare presentations with accuracy and high attention to detail.
    • Negotiate with vendors for office supplies and café materials.
    • Order necessary office supplies.
    • Oversee corporate conference room schedules for company executives.
    • Manage videoconferencing schedules and set-up.
    • Assures services provided to visitors are in working order, including waiting area, coffee bar, etc.
    • Answer the telephone and greet visitors.
    • Coordinate mail communications and in-office mail delivery.
    • Manage electronic filing system.
    • Must possess the ability to work at a rapid pace under tight timelines.
    • Must be able to handle confidential information professionally and with extreme care.
