Position: Secretary to Executive Directors of Education
Schedule: 52 weeks
Position Purpose: Effectively maintains efficient operation of the District Instruction Office by capably completing secretarial and support activities which benefit the district's entire educational program.
Essential Functions:
- Responsible for timely response to calls, emails, general communication
- Assist staff and visitors, determine the nature of business, and direct them to the appropriate person(s).
- Responsible for generation and dissemination of memos, letters, reports, forms,charts, etc. as directed.
- Develops agendas/enclosures/minutes for principal and Curriculum Council meetings.
- Schedule conferences, seminars and meetings, including registrations and travel arrangements.
- Assist with annual preparation/distribution of school district reporting/data.
- Assist in purchasing, receiving and monitoring purchase orders for the Instruction Office.
- Monitor and manage Instruction Office budget accounts.
- Coordinate, document and track staff Professional Development.
- Assist Executive Directors of Instruction with all special programs involving district and community initiatives.
- Provide positive customer service to students, staff, parents, and members of the public at all times
- Establish and maintain an office filing system, including PARs reports, purchase orders and electronic document storage.
- Maintain inventory of district wide Instruction Office data and generate reports as needed.
- Complete local, state and federal reports.
- Comply with federal, state, and district laws, policies and rules regarding confidentiality of student and staff information and records.
- Regular, reliable and punctual attendance
- Other duties as may be assigned
Additional Duties: Performs other related tasks as assigned by the Principal and other central office administrators as designated by the Superintendent.

Travel Requirements: Travel to school district buildings as needed.
Knowledge, Skills and Abilities:
- Detail-oriented and professional
- Proficient with Microsoft Office Suite and Google Drive.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of employees.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form.
- Ability to deal with problems that arise related to the instructional responsibilities of the department.
- Ability to pass a typing test at 75 words per minute.
- Ability to operate a personal computer and related software used by the district.
- Ability to develop effective working relationships with students, staff and the school community.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to perform duties with awareness of all district requirements and Board of Education policies.
- Able to maintain confidentiality.
- Ability to work in an economically, culturally and racially diverse environment.

Qualifications:
- Minimum of three years experience as an administrative assistant or secretary.
- Post high school education in secretarial skills and procedures, or related education.
- Excellent typing and computer skills for developing surveys, charts, letters, forms, etc.
- Experience creating and working with Microsoft Word, Microsoft Excel, Google Docs and Google Sheets.
- Excellent organization skills and attention to detail.
