    Executive Assistant for Finance & Operations


    Description of Position

    As the Executive Assistant for Finance and Operations, you will play a crucial role in supporting the Vice President for Finance and Operations. This position will play a pivotal role in ensuring seamless communication and efficient administrative support across various university departments. This position involves high-level executive assistance, project management skills, Operations, and a strong focus on maintaining confidentiality and professionalism in a business office environment. This position requires a highly organized, motivated, and detail-oriented professional.


    Essential Functions

    • Serve as the primary point of contact for all communications for the VPFO and Business Office.
    • Review contracts and legal documentation in preparation for VPFO signature.  
    • Responsible for records management of vendors, construction projects  and budgets, and maintenance and facilities work orders,  while ensuring project deadlines and requirements are met.
    • Process insurance claims and manage reimbursements.
    • Manage insurance renewal application process, engaging with campus partners to compile required data sets.
    • Effectively oversee NNU investment property and collaborate with rental agencies regarding maintenance of the properties. 
    • Efficiently manage the calendar for the Vice President, including scheduling appointments, making travel arrangements, and coordinating meetings. 
    • Serve as executive support for internal and external committees, including scheduling and recording minutes. 
    • Oversee expense approval for direct reports of Finance and Operations.
    • Performs other related duties as assigned. 

    Requirements

    Minimum qualifications 

    • Bachelor's Degree in Business Administration, Project Management, or equivalent experience
    • Minimum of 3 years of relevant work experience
    • Demonstrates the capacity to embody NNU in a positive and professional manner both internally and externally, exhibiting a firm and professional approach, resilience in handling ambiguity, and possessing a high-level of confidentiality
    • Initiates tasks independently with minimal supervision, demonstrating a self-starting attitude
    • Maintains a strong focus and drive to results and accountability towards projects and tasks, ensuring completion
    • Exceptional organizational ability, problem-solving and multi-tasking skills
    • Adaptability to changing business practices
    • Strong communication skills in the English language, both oral and written
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

    Compensation 

    Salary will be determined by the educational background and experience.
