Assistant to an administrator (director or above), including scheduling and sending correspondence on behalf of the administrator and/or department. Prepares project and grant budgets for use in planning, policy making and program evaluation. Compiles information, prepares reports and is involved in implementing departmental policies.

Required Qualifications:
Education : High School Diploma. Bachelor's Degree preferred; experience may replace degree based on years of experience.
Skills : Time management, multi-tasking to coordinate priorities among seven division faculty; strong interpersonal skills with excellent written and verbal communication skills; someone who takes pride in multitasking and making deadlines; self-starter and problem-solver; expert in Microsoft software especially Outlook
Job Duties Outlined:
Prepare letters, faxes, emails; schedule online (i.e., Teams; Zoom) meetings, manage conference room use and scheduling; ensure smooth day to day operations (computer, phone and other equipment ordering, servicing & inventory order supplies); make travel arrangements and handle expense reporting for travel; distribute mail; make credit card purchases for supplies, conferences, registration and allowable costs for memberships. Answer main phone and greet and direct office guests, assisting with parking and other guest logistics.
As requested, scheduling project and management-related appointments for the division faculty.
Schedule division meetings and take minutes; assist with sending reminders to faculty/staff who have assignments identified during meetings.
Assist with project-related tasks like recruitment expenses and ordering gift cards; develop standard operating procedures and guidelines that will encourage project teams to be self-sufficient and efficient; process contract service and other project related fees.
Support grant application processes that include collect, format and prepare biosketches; develop a library of support letters; draft and obtain letters of support for collaborative institutions and consultants under the direction of the submitting principal investigator.
