    Your impact:

    As a Executive Assistant Sr., you'll have the opportunity to use your strong administrative talent and organizational skills to provide administrative, analytical, meeting, and clerical support to the Executive Leadership Team (ELT), the Board, and various committees of Coastal. You'll also have the opportunity to use your professionalism and rapport building talent as you provide a positive and professional experience in all interactions with our internal and external customers.

    This role is distinguished from the Executive Assistant role by performing work requiring a higher level of sensitivity, confidentiality, and experience. This role may also serve as the back-up to the Senior Executive Assistant Manager, as needed.


    The contributions you can anticipate making:

    • Providing high-level administrative, analytical, and clerical support to the Executive Leadership Team (ELT), the Board, and various Coastal committees
    • Serving as the delegate, primary point of contact, and liaison for internal and external parties on all matters pertaining to the ELT
    • Exercising delegated authority to speak on behalf of members of the ELT regarding a variety of administrative matters, staying abreast of events that need attention, prioritizing issues, and determining appropriate course of action
    • Exercising initiative and independent judgment in managing a high-volume calendar of appointments:
      • Keeping calendars updated, free of conflicts, and reasonably paced to allow for office time and ample time between meetings
      • Preparing briefings, presentations, documents, bios, etc.
    • Providing Committee Support:
      • Scheduling meetings and managing all prep work; e.g., collecting/preparing/distributing material, posting and updating documents in Diligent, etc.
      • Attending meetings, preparing minutes, and managing post-meeting action items
    • Managing assigned projects, prioritizing conflicting needs, and meeting deadlines
    • Coordinating and managing the process of travel and outside training activities; e.g., preauthorization, hotel, air travel, registrations, vehicles, itineraries, expense reports, and reimbursements
    • Preparing policies for Board approval
    • Supporting budget awareness and planning process
    • Planning or assisting with on-site and off-site events, team building, workshops, and conferences
    • Providing assistance to division personnel as needed or requested
    • Serving as back-up to peer Executive Assistants

    To be successful in this role, you will be:

    • Someone who has the ability to prioritize multiple responsibilities and a natural ability to adapt when unexpected issues arise
    • Someone who derives satisfaction from taking a concern or problem, seeing it through to resolution, and determine when to escalate to appropriate person
    • A person who enjoys building rapport with others. Working in a team setting as well as individually
    • Ability to be clear and exercise diplomacy, tact, and judgment when communicating with a wide range of constituents and using various forms of professional communications
    • A detail-oriented individual who "needs" things to be accurate and "add up"
    • Someone who enjoys the opportunity to compile data in a way that is meaningful and useful to others
    • A person who's comfortable handling highly confidential information
