    Description

    JOB FUNCTIONS

     

    • Provide high-level administrative support to the Chief Growth & Revenue Officer, including managing calendars, timecards, vendor management support, scheduling meetings, and coordinating conflicting demands.
    • Prepare and distribute correspondence, meeting agendas, reports, and presentations on behalf of the Chief Growth & Revenue Officer. Attend various meetings, take notes and schedule follow up items for task completion. Maintain official minute books, records retention logs and other administrative files.
    • Support the planning and implementation of strategic growth initiatives and revenue-generating activities, including conducting research on ideas and consolidating industry trend reports to inform decision-making processes.
    • Support cross-departmental communication and collaboration to ensure alignment with growth and revenue goals.
    • Maintain confidentiality and discretion when handling sensitive information and documents.
    • Oversee special assignments by coordinating and consolidating data, facilitating testing and cleanup initiatives, or similar projects delegated by the Chief Growth & Revenue Officer. Ensure these tasks are completed promptly and accurately, contributing to the achievement of organizational objectives.
    • Act as a liaison between the Chief Growth & Revenue Officer and internal/external stakeholders, board members, representing their interests professionally.
    • Responsible for preparing agenda and assembling supporting documents for CUSO Board
    • Screen and prioritize incoming communications, such as emails, phone calls, and mail, meticulously managing their flow and responding on behalf of the executive as necessary. This entails ensuring that urgent matters are addressed promptly, and that the executive's time is optimized for maximum productivity.
    • Maintain attendance calendars and time clock system for the Chief Growth & Revenue Officer
    • Provide administrative support including expense & travel reports, filing, data entry and other tasks assigned.

    REQUIREMENTS

     

    KNOWLEDGE

    • Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), CRM management and other relevant software tied to the role.
    • Familiarity with financial terminology and concepts related to credit unions and revenue generation strategies.
    • Understanding of administrative procedures and best practices in a fast-paced environment.

    • Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet established deadlines.
    • Strong communication skills, both written and verbal, with attention to detail, and the ability to interact effectively with individuals at all levels.
    • Ability to professionally work independently with minimal supervision while also functioning well in a positive team-oriented environment with the ability to collaborate with various employees/teams.
    • Problem-solving skills and the capacity to handle multiple tasks simultaneously under pressure.
    • Adaptability and flexibility to accommodate changing priorities and exercise judgement in a fast-paced environment to ensure deadlines are met.
    • Demonstrates a keen understanding of executive etiquette and protocol, exhibiting a high level of poise and tact to consistently portray the Credit Union in a positive light. Ensures discretion when handling sensitive information and maintains strict confidentiality standards.
    • Flexibly undertake additional and/or alternative duties as assigned from time to time, which may include providing support to other departments or Executives as required. This role is adaptable to various tasks and can assist across different areas of the organization as needed.

    EDUCATION/EXPERIENCE

    • Bachelor's degree in business administration, finance, or a related field preferred.
    • Proven experience (2 years) as an executive assistant or in a similar fast-paced environment within the financial services industry.
    • Experience in the banking or financial services industry, particularly within a credit union, is advantageous.

    PHYSICAL REQUIREMENTS

    The position requires the following physical activities within varying environmental conditions:

    • Occasionally remaining in a stationary position which may be standing or sitting for a prolonged period.
    • Occasional travel or moving from one office location to another or from one department to another at the headquarters building.
    • Occasional lifting, moving, or adjusting objects up to 20 pounds.
    • Constant communication with others through various channels including verbal, email, and chat of which the last two may require consistent use of a keyboard and mouse or another electronic device.
    • Work will be in a commercially reasonable temperature-controlled environment.
    • Occasional temporary exterior site review which could be in outdoor elements of wind, rain, or snow.
