Our agency is dedicated to providing holistic financial counseling, education, and advocacy to empower our community with tools and resources to achieve financial stability.

    Job Summary:
    We are seeking a highly organized and detail-oriented Finance and Office Manager to join our team. Reporting to the Executive Director, the Finance and Office Manager will be responsible for assisting in the financial and operational management of all office functions to ensure the agency's programs run efficiently and effectively.

    Responsibilities:

    • Prepare and present monthly financial reports for the Executive Director, Finance Committee, and Board of Directors.
    • Prepare financial reports for the Annual Audit.
    • Complete all bank account reconciliations monthly to ensure accuracy of all balances across bank, general ledger, and agency client management system.
    • Coordinate communications between the agency and financial institutions.
    • Make general journal entries in accounting software.
    • Maintain accounts payable and process weekly checks to vendors under the Executive Director's direction.
    • Maintain accounts receivable.
    • Prepare weekly operating bank account deposits with Executive Director approval.
    • Process voids and stop payments for operating bank account as necessary.
    • Ensure employees receive annual W-2 for tax purposes.
    • Obtain W-9’s from all vendors and prepare annual 1099 statements for required vendors.
    • Ensure all company tax filings are complete and records maintained.
    • Prepare financial analysis as needed.
    • Assist the Executive Director in preparing the annual budget.
    • Maintain fixed asset listing and capitalize purchases as necessary.
    • Assist Executive Director in grant billings.
    • Work closely with the Executive Director to maintain compliance with current Policies and Procedures and develop new ones to enhance agency efficiency.
    • Regulate fair share invoices and ensure accuracy of fair share reimbursements.
    • Direct and assist the Accounting Assistant in completing Debt Management Program (DMP) and Payee client check processing for disbursements to creditors and clients.
    • Direct and assist the Accounting Assistant in processing voids and stop payments for client trust accounts.
    • Direct and assist the Accounting Assistant with daily cash deposits for both DMP and Payee departments and submit for accuracy confirmation.
    • Direct and assist the Accounting Assistant to process ACH and Wire Transfers for all accounts.
    • Manage equipment and software needs of the agency.
    • Coordinate Performance and Quality Improvement (PQI) activities with the PQI committee and Executive Director.
    • Attend relevant training sessions, conferences, and seminars related to CCCS and job responsibilities.
    • Learn and maintain functional knowledge of all departments and provide assistance as necessary.
    • Be able to manage office functions in the absence of the Executive Director.
    • Be able to address and document complaints, both internally and externally, and report to the Executive Director.
    • Maintain compliance with agency accreditation standards.
    • Pull/print all end-of-month reports from the client management system.
    • Complete creditor, HUD, NFCC, EOUST, and Social Security reporting and compliance requirements.
    • Other duties as assigned by the Executive Director

    Qualifications:

    • Bachelor’s degree or associate degree preferred, with 2-5 years of related experience in financial or business management.
    • Strong knowledge of the reconciliation process.
    • Office management experience is advantageous.
    • Strong numerical aptitude and attention to detail.
    • Knowledge of basic office procedures.
    • Excellent computer skills, including proficiency in Microsoft Word and Excel.
    • Clear understanding of accounting software and client management systems.
    • Ability to work effectively in a team environment.
    • Responsible, self-motivated, and able to meet deadlines consistently.
