Community Health Alliance is looking for an experienced Executive Assistant who will perform a variety of administrative and operational support functions for the CEO, other members of the Executive team, and executive office departments. As an Executive Assistant you will need to be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently while promoting the mission, vision, and values of the organization.

Job Duties and Responsibilities:
- Work directly with the CEO to support all aspects of their daily work routine.
- Maintain the CEO and other executive level staff calendar, including meetings, appointments, speaking engagements, and travel arrangements. Exercise discretion in committing time and evaluating needs. Ensure CEO knows schedule 24 hours in advance. Keeps appointments and meetings on time or changes schedules when necessary.
- Receive and screen the CEO’s phone calls and visitors, answer a variety of questions with tact and diplomacy, taking messages and directing calls appropriately for resolution.
- Manage external contacts for CEO, proactively understanding who they are, which priority contacts are, and keeping track of periodic communication needed for priority contacts.
- Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handles matters personally, as appropriate.
- Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Compose and prepare letters relating to routine correspondence for the CEO’s signature.
- Draft, review and send communications on behalf of company executives.
- Schedule Executive, Board of Directors, and other meetings; assist in the preparation and distribution of meeting agendas, materials; attend to the logistics of the meeting/event and prepare and disseminate minutes.
- Organize and prepare for meetings, including gathering documents and attending to the logistics of the meetings or events.
- Routinely perform a wide variety of variety of support duties in support of executives and executive office departments.
- Provide coordination, monitoring and communication for projects managed by the Executive Team.
- Maintain various records and documents for company executives.
- Prepare, reconcile, and submit expense reports.
- Prepare presentations, reports, forms, and other documents by collecting and analyzing information.
- Provide regular feedback/updates on the progress of assigned projects.
- Handle confidential information in a professional and discreet manner.
- Organize; Maintain accurate records in an efficient manner. Keep working files and master files of all information/projects as requested.
- Keep and maintain an accurate record of papers and electronic correspondence on behalf of the executive staff.
- Ensure that various administrative tasks are done in an effective and efficient manner, including copying, reviewing outside mail, drafting correspondence, screening phone calls when requested, and maintaining executive files as needed.
- Any other duties assigned.
Qualifications:
- Bachelor’s degree preferred.
- 2 years experience in a similar role or job functions.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography, and transcription, designing forms, and other office procedures and terminology.
- Exhibits sound judgement with the ability to prioritize and make decisions.
- Exhibits excellent computer skills including Microsoft Office Suite.
- Exhibits exceptional writing, editing and proofreading skills.
- Exhibits excellent organization and time-management skills.
- Ability to work independently, exercise creativity, be attentive to details and maintain a positive attitude.
- Ability to manage and prioritize multiple assignments.
- Ability to work independently and carry out a variety of critical and time sensitive projects without detailed instructions.
- Ability to identify information, materials, and resources needed to complete a project or assignment.
- Ability to use tact and diplomacy when dealing with the needs, problems, and/or concerns of Executives, Board of Directors, staff, stakeholders, and/or the public.
- Ability to maintain the confidentiality of sensitive and confidential information obtained through the course of completing assignments (e.g., and personnel related issues, projects).
