Position Summary and Responsibilities
The Office of Communications is responsible for communications of all kinds pertinent to the College and its alumni and various constituents, as well as the public.
The Executive Assistant exercises initiative, independent judgment, and integrity in all aspects of the job; serves as a key resource and communicator for alumni, parents, donors, and members of the Board of Trustees with whom the Vice President interacts regularly; manages the Vice President's appointments and travel; answers and responds to telephone calls and emails; and may support reception of guests and calls for the president's office.
Responsibilities:
- Manage a busy calendar that includes internal meetings, as well as domestic and international travel for the VP. This includes developing itineraries, coordinating the schedules of other internal and external participants, arranging for catered lunches or refreshments, ordering media and telecom, and/or taking minutes as requested.
- Work closely with the Office of the President to coordinate schedules, meetings and travel for the Vice President and the President.
- Communicate with members of the Board of Trustees when required in a timely and professional manner, and support the VP's management of various committees of the Board.
- Assist the VP with document preparation in advance of the Board meetings, schedule the various committee meetings throughout the year.
- Coordinate the flow of incoming and outgoing mail, telephone calls and email in a systematic and timely manner.
- Tracking the VP's correspondence and other data entries as required.
- Prepare general correspondence, emails and reports as needed; edit and/or proofread documents.
- Organize the annual departmental retreat, staff meetings, cabinet meetings, and holiday party, as well as other departmental gatherings.
- Take on special projects and initiatives as requested by the VP.
- Support reception in the President's Office when asked.
- Reconcile the VP's expense reports.
- Process paperwork and catalogue invoices to support the management of the department's budget. Undertake straightforward budget analysis and reporting as needed.
- Support VP in preparing Board reports.
- Promote a positive and welcoming attitude in and out of the office; represent the ethos and style as demonstrated by the Vice President.
- Other responsibilities as assigned.
Qualifications
- Five or more years of related experience required; minimum of three years directly supporting a senior executive preferred.
- High level of organization, professionalism, and attention to detail.
- Comfort in a fast-paced, collaborative environment that is not always predictable.
- Utmost integrity, diplomacy and confidence; demonstrated ability to handle confidential information in a discreet manner.
- Proficiency with a range of technologies and applications, including, but not limited to, Microsoft Office Suite and Google Apps (Calendar, Docs, Sheets, Mail); familiarity with Workday highly desirable.
- Self-starter with an ability to manage multiple priorities and projects.
- A bachelors degree and work in a higher education environment is preferred.
- A sense of humor and willingness to have some fun along the way are appreciated.
