Job Summary
The Administration Coordinator provides administrative and clerical support for Automotive Services union labor including processing time cards, answering incoming calls, creating correspondence, filing, scanning, administrative processing, data entry, and processing of leave documentation.
Primary Objectives
- Proactive and professional communication and customer service.
- Accurate, complete, and timely data entry.
- Reporting and other communication tasks delivered properly and timely.
Duties and Responsibilities
- Maintain accurate and complete union labor timesheet information in timekeeping system, including processing of labor transfers, reporting, identification and resolution of missing punches, entry of time off coding and time adjustments, and validation and correction of coding and lunch deductions based on employee and supervisor communications and records.
- Escalate issues promptly as appropriate to enable timely and accurate transmission of time information to payroll for processing.
- Ensure all forms I-9 are completed correctly and submitted to Human Resources within required timeframes, including collection of required supporting documents, and maintain local files in accordance with corporate guidelines
- Update voice mail reports and code all employees accordingly.
- Provide time-off requests report to supervisors and submit all approvals and denials.
- Answer phones, take messages, and follow up as necessary.
- Run attendance report; confirm with Supervisor for appropriate coding.
- Process all medical notes, including stamp, scan, and file to employee’s electronic and physical file.
- Pick up mail, materials, supplies, etc., and distribute to intended/appropriate recipients.
- Compile employee communication and on-boarding packets.
- Sort weekly payroll checks by department and deliver to supervisors.
- Retrieve documentation from health clinic portals and update leave of absence reports as documentation is received.
- Prepare and distribute documents and information as assigned timely to ensure appropriate processing.
- Other duties as assigned.

Required Education
- High school diploma or equivalent (HSED)
Preferred Education
- Some college-level coursework preferred
Required Licenses and Certifications
- Transportation Worker Identity Credential (TWIC) required
- Valid state-issued driver license and acceptable driving record required to operate vehicles on terminal
Required Work Experience
- 3 years of related experience with an emphasis on clerical and customer service-type duties
Required Knowledge, Skills and Abilities
- Ability to complete large volume of data entry rapidly and with high degree of accuracy.
- Excellent verbal and good written communication skills.
- Knowledge and understanding of collective bargaining agreements.
- Ability to understand, interpret, and apply policies, procedures, and regulations.
- Ability to maintain confidentiality and exercise a high level of tact and discretion.
- Demonstrated proficiency with Microsoft Office products at the following levels:
- Word, Excel: Intermediate level of skill
- Outlook, PowerPoint: Basic level of skill
