POSITION TITLE: HOME CARE ADMINISTRATIVE ASSISTANT
FLSA STATUS: HOURLY/NON-EXEMPT
REPORTS TO: DIRECTOR OF NURSING: HOME CARE
POSITION OBJECTIVE:
Provides administrative support for the Home Care team. Coordinates schedules within the EMR for all clinical homecare staff. Independently administers assigned responsibilities, ensuring excellent customer service.
QUALIFICATIONS:
- High school education or its equivalent.
- A minimum of one year of secretarial/clerical work experience in health care or organizational management, with a preference for patient scheduling.
- Minimum three years of CNA or QMA experience
- Strong organizational skills to manage multiple tasks simultaneously, combined with the ability to prioritize effectively.
- Effective communication skills both verbally and in writing.
- Must have a current motor vehicle operator’s license and have access to an automobile with current automobile insurance coverage.
- Ability to be discreet and protect the integrity of confidential information.
- Ability to process information, analyze it, provide documentation, and recommend solutions to problems.
- Ability to recognize the needs and concerns of others and develop positive relationships.
- Ability to plan and implement changes.
- Ability to use personal computers and have knowledge of software including our electronic medical record, Excel, Word, and OneDrive.
- Ability to multi-task, manipulate, and master daily scheduling and staffing.
- Ability to cope in a work environment that involves many interruptions and sometimes frustrating situations.
ESSENTIAL FUNCTIONS:
- Complete all assigned tasks within the electronic medical record promptly.
- Schedule visits of Direct Care Staff
- Responsible for adjusting the schedule for unexpected staffing changes and patient needs.
- Works in collaboration with other departments to coordinate schedules.
- Review and update the IDG console as needed
- Attend IDG meetings for assigned teams as the scribe
- Assist in tracking the completion of field chart audits
- Daily on-call log review to ensure follow-up needs are addressed
- Assist with the nursing/aide on-call schedules
- Call hospice patients to schedule face-to-face visits
- Complete care quality/follow-up calls to patients and families as assigned
- Review and assign billing codes to clinical invoices as their supervisor directs.
- Completes work on time as requested, advising supervisor of issues that may impact timely completion of duties.
- Attends meetings pertinent to the position.
- Assist with payroll as directed. Monitor to ensure Non-visit activity in HCHB is being kept up to date.
- Assist in PTO approval process
- Participates in quality improvement activities and/or other agency committees or task forces when requested.
- Assume duties of other Home care administrative assistants in their absence
- Assumes other responsibilities as assigned by supervisor.

ESSENTIAL PHYSICAL/MENTAL FUNCTIONS:
- Must have visual, hearing, and mental ability to initiate and comprehend written and verbal communication.
- Must engage in clear, concise verbal/non-verbal communication.
- Must be able to endure lengthy periods of sitting while driving.
- Must have the ability to remain calm in occasional emergencies.
- Recognizes emergencies and knows emergency procedures, according to Stillwater Hospice Agencies' policy.
The published compensation range for this position reflects a good faith estimate of starting base pay for full-time (40 hours per week) employment at the time of posting. The base pay may be higher or lower based on demonstrated job-related experience.
