Executive Director – NUCA of Florida
NUCA of Florida (National Utility Contractors Association) is seeking a part-time State Executive Director. The is a semi-remote (candidate must reside in the state of Florida and able to travel occasionally to meetings throughout the state), part-time, independent contract/1099 position. The Executive Director will represent the State Association in the underground utility construction industry, coordinate membership benefits with local Executive Directors, coordinate events, produce financial statements and board packets.
Outline of Responsibilities
Financial Management
- Maintain all financial records of the association utilizing QuickBooks
- Reconcile bank statements on a monthly basis
- Make timely deposits and payments of expenses
- Generate invoices and follow up with collection calls as needed
- Update annual corporate filings and coordinate preparation of tax returns
Administrative
- Primary contact for association
- Maintain database of association membership
- Ensure website is up to date with latest events and news
- Keep up-to-date with correspondence and contact with NUCA and all Florida Chapters on issues including safety, legislative, dues, bylaw changes, policies, etc.
- Prepare monthly Ditchmen newsletter
- Coordinate distribution of legislative information with lobbyist
Board and Committee Meetings
- Make all arrangements for Quarterly Board and committee meetings
- Assist President with preparation of the meeting agenda, including background materials and pertinent information
- Provide Financial Reports, agendas and all supporting documentation to BOD
- Be present at all Board of Directors Meetings and serve as an information and leadership resource
- Maintain and distribute accurate meeting minutes
- Ensure BOD is abiding by ByLaws
Events and Meetings
- Handle all aspects of state events and meetings including but not limited to: President’s Cup Golf Tournament, Conference, Bass Fishing Tournament, and membership meetings
- Assist committee members with pricing comparisons and selection of location for each event
- Handle contract negotiations and make all arrangements with venue for event
- Assist event chairperson by setting up and attending committee meetings, provide information on sponsors and attendees as well as potential attendees
- Create and distribute fliers/advertising for events and follow-up
- Maintain sponsorship information for current events. Advertise sponsorship opportunities statewide
- Purchase prizes, events sponsorship signs and trophies for events
- Record attendance information, receive payments and follow up
- Attend the event – welcome guests and handle on-site problems as they arise in a courteous and professional manner
- Provide an event recap detailing income, expenses and attendance
Ideal Candidate Qualifications
- Prior knowledge or exposure to trade associations and best practices
- Self-starter with ability to prioritize and multi-task
- Excellent written and verbal communication skills
- Proficient in QuickBooks, and Microsoft Office products
- Construction industry knowledge is preferred
- This is a remote position but the ideal candidate should reside within the State of Florida to allow for easy travel to in person meetings.
Job Types: Full-time, Part-time
Pay: $45,000.00 per year
Expected hours: 25 – 30 per week
