Responsible for the management, support and maintenance of the Contracts and Strategic Sourcing contract database for all D-HH facilities and clinics.
Responsibilities- Provides technical and maintenance support for complex system-wide centralized contract data repository including, but not limited to all written agreements, letters of understanding, amendments to contracts, pricing exhibits, leases, maintenance agreements, licenses.
- Inputs, validates and maintains contract database. Develops extensive cross-referencing and tracking processes; recognizes duplicate or similar contracts and notifies responsible partners.
- Responsible for data integrity, monitoring the data base to meet defined metrics, including tracking and archiving of expired contracts and reviewing for evergreen clauses.
- Oversees the security of the system and monitors and reports deviations to leadership.
- Develops and disseminates reports as required.
- Identifies and implements opportunities for improvement in the system and processes.
- Assumes role of “subject matter expert” relative to the database, its functionalities and use.
- Performs monthly audits of contracts to ensure payments and other term are consistent with contract terms
- Plans, prepares and conducts on-going education for management (Manager Quick Start training), updates policy and other educational materials.
- Supports due diligence for bond offerings by organizing contracts into separate data bases for legal review; storing to disk for permanent records; and supporting Legal Services as requested.
- Optimizes use of the contract data base by establishing new sections (Permanent Documents) as needed.
- Performs other duties as required or assigned.
Qualifications- Bachelor’s Degree or the equivalent in education and experience required.
- Paralegal experience preferred
- Contract review experience preferred
- Two (2) years of administrative experience in a contracting environment preferred
- Demonstrated knowledge of contract management software program and its capabilities
- Strong organizational skills, attention to detail, good judgment, discretion and ability to work in both a team environment as well as independently, and prioritize work.
- Must have a strong understanding of organizational structure of all Health Systems.
- Ability to work effectively with internal staff at all levels of the organization as well as with external vendors, organizations and agencies as related to contract clarification.
