    Position Summary:

    As a member of the Finance team, the Payroll Manager and Stock Administrator is responsible for the accurate processing and reconciliation of Brain Corp’s’ exempt and non-exempt payroll on a biweekly basis as well as administration of the company’s stock plans. The Payroll Manager and Stock Administrator provides timely and accurate financial information while engaging in the day-to-day payroll and stock administration operations. The Payroll Manager and Stock Administrator will possess significant experience in multi-state payroll processing, the ability to multi-task within multiple services where required, and work in a challenging and ever-changing environment to deliver exceptional service.

    Essential Job Functions:

    • Manage all aspects of payroll processing for payment of wages, bonuses, commissions, garnishment, state offset, tax withholding, and W-2s in a multi-state environment.
    • Manage international payroll through designated Employer of Record partners. 
    • Ensure legal and tax compliance at federal, state, and local levels, including but not limited to new state registration, relevant data privacy, and data protection policies and regulations.
    • Review time and attendance to ensure compliance with regulatory requirements.
    • Reconcile payroll to the general ledger and resolve any discrepancies.
    • Prepare payroll-related journal entries, account reconciliations, and trending reports in a timely manner as part of the month-end-close deliverables.
    • Partner with HR to execute critical HR/Payroll projects including supporting HRIS/payroll system, enhancements, integrations, compliance, and audits.
    • Provide prompt, friendly, and efficient customer service to employees with payroll-related questions.
    • Reconcile payroll clearing, accrued payroll taxes, and cash requirements each payroll.
    • Reconcile monthly benefits invoices.
    • Contributes to annual Non-Discrimination Testing and audit, including 401k plan, FSA, and health/welfare benefits.
    • Assist with annual Workman's Compensation audit.
    • Process all equity transactions within the equity management system. 
    • Reconcile equity activity against the equity management system on a monthly basis.
    • Assist equity plan participants by providing exercise costs, communicating plan provisions, resolving issues, and recording exercises in the payroll and the equity management systems, as applicable.
    • Ensure proper and timely tax withholding and remittance on equity-related transactions.
    • Liaise with external auditors to ensure successful completion of annual financial and payroll audit.

    Education and/or Work Experience Requirements: 

    • Bachelor’s Degree in Business Administration or Accounting (or equivalent in education and experience).
    • Minimum of 8 years of experience in leading payroll responsibilities at a public or mid-size private organization.
    • Experience working with automated multi-corporation, multi-state, payroll processing with in-depth knowledge of federal, state and local payroll tax regulations, especially CA wage and hour laws.
    • Experience working with UltiPro/UKG, or equivalent HRIS systems, is required.
    • Experience working with equity programs and equity management platforms.

    Required Knowledge, Skills, Abilities, and Other Characteristics: 

    • Strong verbal and written client services skills.
    • Strong organizational skills, exceptional attention to detail and the ability to manage deadlines.
    • Strong Excel and Word skills.
    • Highly motivated and team oriented with ability to collaborate and effectively work within cross functional teams.
    • Human Resource and Payroll Experience with a Fundamental Payroll Certification (FPC), Certified Payroll Professional (CPP) and/or Senior Professional in Human Resources (SPHR) preferred.
    • Understanding of equity award types, equity taxation, and equity accounting.
    • Ability to maintain confidentiality and exercise discretion with sensitive compensation data.

    Work Environment:

    The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually quiet to moderate. Employees are exposed to the typical office environment with computers, printers and telephones.

    Salary Range:

    The anticipated salary range for candidates who will work in San Diego, California is $90,000 to $119,000. The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the job, type and length of experience within the industry, education, etc. Brain Corp is a multi-state employer and this salary range may not reflect positions that work in other states.
