Special Events Coordinator

  • Under direct supervision of the Entertainment Manager, creates and implements entertainment strategy to coordinate special events and generate interest for the casino. Maintains confidentiality of all privileged information.

    Essential Duties & Responsibilities:
    • Responsible for driving headcount to properties through entertainment to increase revenue.
    • Researches markets, identifies event opportunities and generates interest for the casino.
    • Coordinates events that drive headcounts to the casino, which involves decision making input on external resources, managing event processes.
    • Prepares, monitors and distributes event budgets.
    • Negotiates with outside vendors on all event details.
    • Coordinates details of events and works with other departments for execution.
    • Calculates budgets and ensures they are adhered to.
    • Works in collaboration with the Entertainment Coordinator to book entertainment.
    • Samples food and selects dishes for menus.
    • Coordinates and monitors event timelines and ensures deadlines are met.
    • Ensures compliance with insurance, legal, health and safety obligations.
    • Works with marketing and public relations to promote and publicize events.
    • Proactively handles any arising issues and troubleshoots any emerging problems on the event day.
    • Conducts pre and post event evaluations and reports on outcomes.
    • Responsible for maintaining absolute confidentiality of all written and oral information.
    • Contributes to a team effort and accomplishes related results as required.
    • Performs other duties as required.

    Minimum Qualifications:

    Education and Experience:
    Bachelor’s degree in Marketing, Business Administration, Events Management or related field plus two years experience in planning special events, hospitality, or promotions; or equivalent combination of experience and education. Must be 18 years of age or older. No felony, theft or stealing convictions. Must be able to successfully pass a pre-employment drug/alcohol screen, background investigation, obtain and maintain gaming license and to include the following:

    Knowledge, Abilities, Skills, and Certifications:
    • Ability to learn the functions, structure, and policies and procedures of Tohono O’odham Gaming Enterprise.
    • Knowledge of principles and practices of public relations, and marketing in a customer service oriented environment.
    • Skill in sells and ability to build productive business relationships.
    • Ability to manage multiple projects independently.
    • Excellent time management and communications skills.
    • Ability to work well independently on several projects concurrently, and excellent communication, organizational and creative thinking skills.
    • Excellent written and oral interpersonal communication with marketing and communications skills and media relations.
    • Ability to be a team player and work with a diverse group of individuals.
    • Knowledge of modern office practices, procedures, and equipment.
    • Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.
    • Knowledge of computer utilization in marketing/business operations.
    • Ability to write reports and business correspondence.
    • Ability to communicate, read, and write clearly in basic English.
    • Ability to demonstrate outstanding guest service at all times.
    • Ability to apply basic mathematical skills.
    • Ability to interpret a variety of instructions furnished in written and oral form.
    • Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, presentation software (such as PowerPoint) and MS Office proficiency.

    Physical Demands:
    While performing the duties of this job, the team member regularly is required to sit and stand; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The team member frequently is required to walk, climb and balance. The team member occasionally is required to stoop, kneel, crouch, or crawl. The team member must occasionally lift and/or move up to 50 pounds.

    Work Environment:
    Work is generally performed in an office and Casino setting with exposure to second-hand smoke and a high noise level. Evening, graveyard, holiday and/or weekend work may be required. Extended hours and irregular shifts may be required.
