Position Summary:

The Special Events Intern will learn the life cycle of planning and executing incentive travel and special events. Their focus will primarily be on project management and administrative tasks for these events to include budgeting, contracting, sourcing, MEC internal processes, project management in ClickUp, exposure to Cvent software, and more. 

The ideal candidate would have an interest in event planning, possesses the ability to maintain accounting for necessary billing, define project milestones and deadlines and ensure goals are met. Candidate must balance creativity with logistics, budget planning, vendor management, website development, problem solving and other duties as they arise. Must be proficient in professional communication with attendees and partners – this is often high-level executives within the organization and outside partners. Attention to detail and processes is key.

Essential Job Functions:

• Design and build informational website for registration
• Manage registration site and communicate with stakeholders
• Design, build and maintain app for events
• Develop, propose, and maintain event budgets
• Create production schedules and project timelines for events
• Develop/Manage/Reconcile budget
• Conduct production meetings for each event
• Conduct venue search and negotiate contracts
• Oversee graphics collateral design and print management - must understand the graphics process and getting ideas from concept to completion – from designer to printer.
• Maintain communication process with stakeholders
• Accept other duties as assigned
• Proactively drive concept development and elevate event concepts including responsibility to ensure each touchpoint remains on-brand

Position Requirements: 

• Advanced knowledge of Microsoft 365 programs

• Ability to be flexible and adapt quickly

Pay Rate: $16/hr
