Event Sourcing Coordinator

  • Job Description:

    • Research vendors, solicit quotes, negotiate pricing, and contract inventory for travel-related events, focusing on fraternity/sorority formals and other student travel opportunities. This includes sourcing hotel rooms, charter buses, event rentals, food and beverage services.
    • Develop and maintain a network of preferred vendors, particularly in new markets, while also supporting existing market relationships and identifying new vendor opportunities.
    • Utilize strong negotiation skills to secure competitive pricing and favorable contract terms.
    • Work closely with the operations team to monitor event participation and status to coincide with supplier contract requirements such as payment dates, inventory reduction guidelines, hotel room block attrition, cutoff dates, cancellation terms, etc.
    • Act as a liaison between customers and the sales team, ensuring a clear understanding of future opportunities and business needs.
    • Utilize Salesforce (CRM) to manage supplier contact information, view event requests, maintain vendor inventory and contracts, and enhance productivity.
    • Collaborate with the office-based team and work closely with the sales team on event leads, proposals, and customer requests.
    • Willing to provide support with other administrative duties, operations tasks, and other various assistance on an as needed basis.

    Requirements:

    • Bachelor’s degree preferred, with two or more years of experience in a travel and entertainment environment. However, we welcome candidates who demonstrate outgoing personalities, quick learning abilities, and a strong work ethic.
    • Strong organizational skills, accountability, and a drive to achieve both personal and company goals.
    • Proactive and energetic approach, with a sense of urgency and a willingness to go the extra mile.
    • Ability to multitask, adapt to a fast-paced environment, and effectively solve challenges.
    • Persistence and determination to reach goals, demonstrating resilience in the face of obstacles.
    • Proficiency with computer systems, including the Microsoft Office Suite, and a willingness to contribute ideas for workflow improvement and system enhancement.

    Compensation:
