Position Summary:
The Salesforce Data Coordinator will provide data management support for the Development department. This includes but is not limited to: Updating records from various revenue sources, including donations from Donor Advise Funds, corporate and individual giving, events, and fundraising activities. Daily tasks will include downloading reports, performing data entry, reviewing, and maintaining good data hygiene, and updating records. Employee will assist with establishing and implementing procedures for correctly entering data, extracting records and reports for various activities, and ensuring the integrity of the data in the organization’s CRM. Position is part of the implementation team for any new apps that will integrate with Salesforce which affect the Development department. The Salesforce Data Coordinator is responsible for developing a training program and conducting training to teach staff ongoing Salesforce functions and best practices, as well as train on any new software.
Responsibilities/ Essential Functions:
· Process financial gifts made to Special Olympics Northern California by individual, foundation, and corporate contributors.
· Manage the syncing from other systems into Salesforce, such as the peer-to-peer fundraising and online auction platform.
· Maintain campaigns, their relationships to online tools, and to one another.
· Run reports and build dashboards for Development staff as requested.
· Ensure that the team remains trained and current in all areas related to maintaining excellent customer service with donors and corresponding metrics are tracked in Salesforce consistently, efficiently, and effectively.
· Cross-reference batch reports from the Finance department with data and reports in Salesforce.
· Assist with on-site registration for SONC events as needed.
· Assist in writing policies and procedures for the creation of new records and existing records in an accurate and consistent manner.
· With a focus on data hygiene, maintain the integrity of Salesforce data to serve the needs of the Development and Finance departments.
· Assist with and provide support and training to Development department staff as they utilize Salesforce in their daily work.
· Respond to internal and external inquiries regarding data contained in the database and research and resolve problems as or if they arise.
· Assist staff with searches, running reports, and performing extractions of data.
· Write and ensure that documentation is consistently up to date as related to Standard Operating Procedures (SOPs) that define the setup and configuration of all Development department organizational database(s), including working with IT on various new and existing workflows.
· Coordinate and perform general regular check-ups in relation to the organizational database to ensure that the database is always clean, up to date, and well-maintained.
· Assist the CDO and the Department to ensure proper partnership fulfillment.
· Support the CDO and Development Department other duties as assigned.
· Work effectively with others in a team-based environment to accomplish the organization’s goals and to identify and resolve problems.
· Serve as a member of the Development department, working in conjunction with the IT and Finance departments.
Qualifications, Skills, & Experiences:
· High level of proficiency in Salesforce database management
· BS Degree in Computer Science, Math, Business, or related discipline.
· At least three years’ experience in an equivalent position.
· Technical skills/ experience needed include:
o Strong experience with Salesforce (preferably NPSP) and a must in Report/ Dashboard development and data hygiene.
o Spreadsheet tools such as Microsoft Excel, SharePoint, and Power Point
o Data visualization software; UpMetrics is a plus.
o Mathematical and statistical skills.
· Experience working with a non-profit organization.
· Project management experience.
· Provide end-user training and orientation on systems.
· Above average communications skills, both oral and written.
· Comfortable learning and using new software programs.
· Ability to develop and maintain effective working relationships.
· Ability to manage one’s time effectively – to prioritize and to complete diverse assignments concurrently when working on a deadline.
