Service Contract Administrator prepares, reviews, administers, and tracks service contract proposals and renewals. Explains service terms to customers and answers questions about contracts. Being a Service Contract Administrator secures necessary approvals and ensures that the standard contract terms are followed. Escalates issues involving customer claims about service to management. Additionally, Service Contract Administrator may participate in review of customer issues and may recommend modifications to the services or terms. May assist with contract negotiations. Requires a bachelor's degree. Typically reports to a manager. The Service Contract Administrator gains exposure to some of the complex tasks within the job function. Job Summary:
The Service Administrator is responsible for coordinating and overseeing the day-to-day aspects of the service department. This role involves processing orders, coordinating maintenance services and installations, and providing exceptional customer service. The Service Administrator works closely with internal teams, external vendors, and customers to ensure timely and efficient delivery of services.
Responsibilities:
· Fielding calls for service and parts department.
· Service requests from customers.
· Service quotations.
· Installation requests from customers.
· Installation quotations.
· Technician travel back-up.
· Follow up with technicians for service and installation documentation.
· Working with Smart Service system.
· Service and Installation billing and filing.
· Service duties related to machine rebuild and refurbishments.
· Light cross-training with parts department.
· Other duties as assigned.
Experience:
· Proven experience in customer service.
· Strong organizational and time management skills.
· Excellent communication and interpersonal abilities.
· Proficiency in computer software for inventory management and order processing.
· Attention to detail and accuracy.
· Ability to work effectively in a fast-paced environment and handle multiple tasks simultaneously.
· Experience in service or technician dispatching (preferred).
· Knowledge of Quick-Books (preferred).
· Knowledge of mechanical systems or equipment (preferred).We offer competitive compensation and benefits packages.
