  • The Manager of Office Administration is responsible for the organization and coordination of office operations, procedures, and resources to facilitate the organizational effectiveness and efficiency of Palmetto Excel. The Manager of Office Administration works closely with staff and students to supervise and maintain orderly operations for the school. Additionally, this position is a member of the recruitment and enrollment team and leadership team and manages the Young Learner’s Childcare Center. Essential skills include language skills, writing skills, reasoning ability, and computer skills. The position requires a strong focus on customer service with a can-do, professional attitude and the ability to prioritize tasks in a fast-paced environment.

    Essential Duties and Responsibilities

    • Demonstrates Palmetto Goodwill’s Amazing Customer Experience (ACE) Culture, I-CARE Values, Mission, and Vision in all actions.

    Office Management

    • Answer phones and provide information about the schools or direct calls to the appropriate party. Manage departmental relationships to coordinate any needed work orders in security, housekeeping, and maintenance.
    • Manage bus pass ordering and distribution.
    • Coordinate travel arrangements.
    • Coordinate all event planning, including vendor evaluation and selection within budgetary constraints. Collect and distribute mail daily.
    • Order, maintain, and track inventory of office equipment and supplies.
    • Create and maintain staff directory and center calendar.
    • Order business cards.
    • Manage on-site enrollment for new students to include iExcel, troubleshooting, and decision-making in accordance with The Excel Center Model.
    • Acts as a liaison between students, enrollees, families, staff, and community partners.
    • Ensure the student information system is accurate and up to date.
    • Responsible for student reception support, including hiring, mentoring, and training.
    • Identify vendors, evaluate services and costs, narrow vendor selection and make appropriate business recommendations.

    Recruitment and Enrollment

    • Work closely with the Marketing Team as a member of the recruitment and enrollment team to facilitate frontline student communication and outreach.
    • Greet visitors, provide the information requested, and route visitors to the appropriate party. Check voicemail, text messages, and online inquiries. Respond to messages promptly.
    • Collaborate with the registrar to assist with workflow.
    • Coordinate center tours for the community.
    • Assist with new student orientation.
    • Performs other related duties as required or assigned.

    Young Learner’s Childcare Center Management

    • Manage, coach, mentor, and evaluate the Young Learner’s Childcare Center (YLCC) Coordinator and staff. Ensure that the YLCC is adequately staffed, equipped, and maintained.
    • Make certain the YLCC is a safe, secure, and healthy environment for the children that it serves. Oversee necessary documentation and ensure that records are adequately maintained.
    • Create and maintain a task list to complete audit items promptly.
    • Report utilization report to the Leadership Team.
    • Ensure all staff members have appropriate tools to effectively perform their responsibilities, including updated training manuals, reference guides, and best practice procedures.
    • Track attendance documents, attendance, and training for the YLCC.

    Supervisory Responsibilities

    • Manages and leads a small group of team members, usually of lower classifications. Assigns and checks work; assists and instructs as required and performs same work as those supervised, or closely related work, a portion of the time. The content of the work supervised is non-technical but presents numerous situations to which policies and procedures must be interpreted and applied.

    Qualifications

    • Spanish language skills are strongly desired.
    • Demonstrates a high degree of professionalism and a willingness to make a good first impression. Flexible, adaptable, and embraces change.
    • Demonstrates empathy in difficult situations and uses discretion in sharing information.
    • Is knowledgeable and informed regarding Palmetto Excel, Charleston County Public School district, and other districts of the Tri-County area to provide callers and visitors with correct and appropriate information.
    • Effective at multitasking, and flexible and adaptable to changing work priorities and schedules.
    • Ability to gather and analyze data to make informed decisions.
    • Must be able to successfully pass a background check.

    Education and Experience

    • Associate’s degree with two (2) years of office management experience; Certified Office Manager preferred. Two (2) or more years of management experience preferred.

    Physical Demands

    While performing the duties of this job, the employee is regularly required to stand, walk, sit, use hands and fingers, handle or feel objects, tools, or controls, and talk or hear. The employee is occasionally required to reach with hands and arms. The employee must regularly lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision, distance vision, color, vision, peripheral vision, depth perception, and the ability to adjust focus.

    Work Environment

    Periodically exposed to such elements as noise, intermittent standing, walking, occasional pushing, carrying, or lifting; but none are present to the extent of being disagreeable.

    Pay: $46,752.12 - $65,340.05 per year
