Summary: Join us as a Vouching Coordinator, where you'll be instrumental in guaranteeing the precision and effectiveness of our accounts payable procedures. In this role, you'll be responsible for validating, reconciling, and endorsing invoices and expenses prior to their payment processing. Collaborating closely with our finance and accounting department, you'll ensure the maintenance of precise financial records and contribute to the seamless operation of our accounts payable division. This is a hybrid role, 2 days in the office at our H.Q. in Waukegan, IL. 

Duties and Responsibilities:

• Receive, verify and process incoming invoices and credits within our sales and accounting platform, NetSuite
• Reconcile any discrepancies with invoices in a timely fashion
• Comfortability with communicating to any employee in the company, especially when inquiring about invoices and/or payments
• Responsible for keeping updated spreadsheets of inventory costs to be allocated
• Review statements frequently to stay on top of any missing invoices
• Research and resolve routine and non-routine vouching questions and discrepancies
• Communication directly with vendors on discrepancies, payment requests and invoice questions, all while providing excellent customer service
• Organizing and entering vendor bills as needed
• Performs other duties as assigned such as accounts payable tasks

Qualifications:

• Excellent oral and written communication skills
• Must have critical thinking ability and be able to analyze all aspects of an order
• Strong initiative, confidence and the ability to ask questions as needed
• Have a thick skin with communicating with other areas of the Company, and not be afraid to say no
• Detail-oriented, with the ability to effectively prioritize multiple projects
• Detailed and accurate data entry
• Strong organizational skills
• Ability to work calmly under pressure
• Proficient in MS Office Suite and Adobe Acrobat
• High School Diploma required
