Position: Director of Finance and Administration
Organization: Founded in 1995 to assist catholic seminaries and bishops in the spiritual formation of seminarians, priests and bishops.
Hours / Pay: Salaried, full-time exempt; Monday-Friday office hours 8:00-4:30 with flexibility; salary commensurate with experience and qualifications.
Position Purpose: This position is responsible for ensuring the overall financial and administrative well-being of the Institute. The Director is a crucial member senior leadership team, who reports to the Executive Director. This position will have to manage and control diverse business operations and functions including finance, budgets, oversee yearly audit process, facilities, and benefits migration.
Nature and Scope of Accountability: Hired by the Executive Director. Reports to the Executive Director. Annual evaluation of job performance/satisfaction and compensation review will be conducted by the Executive Director.
Principal responsibilities:
1. Provide finance and accounting leadership. Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements for all donor segments, and oversee all financial, project/program and grants accounting.
2. Coordinate and lead the annual audit process with external auditors, the finance committee and board of directors; assess any changes necessary.
3. Oversee and lead annual budgeting and planning process in conjunction with the Executive Director; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership team apprised of the organization’s financial status.
4. Manage organizational cash flow and forecasting.
5. Ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
6. Update and implement any necessary business policies and accounting practices.
7. Effectively communicate and present the critical financial matters to the board of directors, and finance council.
8. Oversee month-end closing process, and provide financial statements for quarterly finance committee meeting.
9. Maintain ledgers for campaigns, grants and directed funds.
10. File all necessary tax-exempt renewals, etc. with appropriate regulatory authority.
11. Coordinate, negotiate and manage third party contracts and services including payroll, I/T, phone systems, office equipment, buildings and grounds maintenance, security systems, health benefits, and others.
12. Assist hiring managers with employee onboarding and employee orientation.
13. Provide daily leadership and direction to accounting team.
