Job Summary:
Provides management of mail processes, and USPS technical support to WellStar mail room functions to ensure cost effective use of WellStar funds while providing the highest levels of customer service, supporting world class health care goals at Wellstar. Prioritize work and deploy staff as required. Manage and assist in the preparation of the budget, goals, variance analysis and equipment contracts. Ensures proper and safe use of all mail. Oversee all Business Reply Accounts and PO Box Accounts for Wellstar Health System. Manage Reserve Account for SendPro Online system, SendSuite Enterprise System Pitney Bowes Meters.
Core Responsibilities and Essential Functions:
Management
- Manages, trains, coaches employees and develops a work environment that promotes customer satisfaction.
- Create and maintain Daily and Monthly productivity reports.
- Maintain multiple postage meters across the system.
- Provide onsite technical support to ensure US Mail is processed timely by diagnosing and repairing postage meters.
- Work with Wellstar transportation to establish and maintain mail delivery schedules.
- Provide instruction to all Wellstar sites with mail meter machines on the cost-effective use of postage meters.
- Provide direction and support to Wellstar mailrooms ensure mailrooms are compliant with USPS regulations
- Set up Postal Service for new WellStar sites.
- Provide support to mailroom locations when needed due to PTO or EIB.
- Order supplies for the postage meters and office supplies for shipping multiple WellStar facilities. Financial
- Utilize vendor website to monitor and analyze Postal Reserve Account, Lease Invoices, and Postage Meter Supplies.
- Monitor and analyze postage usage across Wellstar by mail class.
- Use USPS Customer Gateway to monitor balance and fees on Business Reply Accounts and Postage Due Accounts.
- Monitor Payment Schedule on multple PO Boxes. Send out reminders to customers to send bill to mailroom so PO Box payment can be made promptly.
- Use Wellstar systems to process requisitions to pay equipment lease Invoices and purchase supplies for multiple postage meters.
- Prepare check request for payments on Business Reply accounts, PO Boxes, Postage Reserve Account.
- Provide USPS knowledge to contracts team supporting effective negotiations of Presort Mail contracts and Meter Lease agreements.
- Provides USPS knowledge to contracts team to support contract negotiations.
- Identify cost savings opportunities available under US Postal Service Regulations related to the use of postage meter to save on Priority mail, and Electronic Certified/Signature Confirmation mail. Customer Service
- Provide effective written and oral communications in a timely and courteous manner to customers and employees.
- Demonstrate ability to multi-task, manage multiple accounts and establish priorities to meet highest level of customer service.
- Respond to inquiries daily regarding mail issues such as tracking and locating items mailed or received.
