    Job Title: Reservations Supervisor

    Department: Lodging

    Reports To: Reservations Manager

    Rate of Pay: $18 Hour DOE

    Shift: Monday-Friday 9 AM-5 PM. Rotate Saturdays, Sundays, as business levels require.

    Full-Time, Year-Round Position

    FLSA Status: Non-Exempt/Hourly


    SUMMARY

    Manage and oversee group room blocks for all incoming groups. Assist guests with booking room reservations and activities prior to arrival.


    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


    Understand all aspects of the Reservations department.

    Assist Reservations Manager with guidance, training, and innovation to department.

    Ensure guests and groups are situated before they arrive, providing an enjoyable stay.

    Provide customer service and relations according to the Forbes 4 Star standards.

    Assist Reservations Manager with weekly Reservations Trainings on best practices of Sundance and Forbes standards.

    Track various data accurately, guest accounting and data entry.

    Answer resort wide inquiries or direct inquiries to the correct departments.

    Assist Manager with rate structures and package setup.

    Assist Manager with the training and support of the Reservations Team.

    Assist in compiling and running daily, weekly, and monthly reports.

    Assist other departments with various projects, including reservations.

    Work supportively with the Lodging Team.

    Schedule Reservations and Group Reservations.

    Block rooms according to contracts and track various data accurately, including data entry and room block changes.

    Coordinate with Sales Team to create group rate codes and packages.

    Bill cancellation fees and attrition fees.

    Enter and update all rooming lists according to group contact's needs.

    Track group pick up and attrition on a weekly basis.

    Set up billing routing for groups and individuals in a group.

    Be in contact with group coordinator to communicate cut off and attrition dates.

    Attend pre-conference meetings and answer resort wide inquiries or direct inquiries to the correct departments.

    Develop extensive knowledge of accommodations, amenities, resort, events, and programming.

    Effectively communicate Sundance knowledge to all contacts.

    QUALIFICATIONS

    EDUCATION and/or EXPERIENCE

    One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

    Must have customer service experience.

    Must be detail oriented and have great customer service skills.

    Must have phone sales experience.


    TECHNICAL/COMPUTER SKILLS

    Must have proficient computer abilities and be able to type 40 words per minute.

    Must be proficient with a ten key. Must be proficient in word processing, spreadsheets, internet navigation, and electronic mail. Gain proficient knowledge of our Property Management Systems.


    CERTIFICATIONS, LICENSES, REGISTRATIONS


    LANGUAGE SKILLS

    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Must speak, read and write English accurately and fluently.


    MATHEMATICAL SKILLS

    Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.


    REASONING ABILITY

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
