RESERVATIONS SUPERVISOR

  • Position Summary



    The Reservations Supervisor is responsible for the efficient and professional operation of the Reservations Department. This position ensures the highest level of customer service while maximizing the occupancy and revenue and helping to facilitate the most profitable customer mix within the hotel. This position also helps with staffing and monitoring of labor and other expenses in the operation of the department.



    Supervision Exercised



    Reports directly to the Front Office Manager.


    Supervises the Reservation Agents.



    Major Duties and Responsibilities



    • Assures that all reservation/call center employees provide every caller with friendly courteous, timely, and knowledgeable service.
    • Ensures and oversees staff in the department are fully trained in technical customer service, up selling and sales skills.
    • Schedules and monitors staffing levels in accordance with key volume indicators and budgetary constraints along with the most current and up to date forecasting tools.
    • Monitors service level standards via daily and weekly reporting for various benchmarks including abandoned calls, dropped calls, average wait times, accuracy of reservations, etc.
    • Monitors room availability on a constant basis helping ensure maximum revenue and occupancy is achieved.
    • Ensures room blocks for all new group sales accounts are processed accurately and in a timely manner.
    • Ensures a continuous daily liaison exists and a good working relationship between Reservations, Front Desk, PBX, Group Sales, Casino Marketing and Casino Hosts.
    • Builds and enters all package rates and group rates.
    • Properly processes all complimentary transactions with complete documentation of status.
    • Routinely and periodically spot checks subordinates primary job responsibility tasks, tracking mechanisms and work to ensure compliance with SOPs and POPs.
    • Responsible for completing performance evaluations, training guidelines, coaching and mentoring programs for supervised staff.
    • Responsible for helping prepare and monitor expense and revenue department budgets in accordance with property timelines and methods to ensure guidelines are being followed.
    • Performs duties in accordance with property compliance and regulation standards as established by the Pueblo of Sandia.
    • Helps direct reports achieve outlined goals and plans of action objectives by periodically meeting with and assisting staff with tasks and needs associated with goals and objectives.
    • Performs other duties and responsibilities as required.

    • Proficient in Microsoft Office programs.
    • Strong analytical, numerical and reasoning abilities.

    Minimum Qualifications, Education and Experience



    Required:

    • High School Diploma, GED certification or equivalent.
    • Three (3) years reservations or front desk experience including one (1) year in a supervisory capacity.

    Preferred:

    • Two (2) year degree in Hotel Management.


    Licensing Status



    • Must be able to successfully pass a stringent background investigation.
    • Will require a post-offer, pre-employment and random drug screening.


    Working Conditions



    • Work is normally performed in a typical interior/office work environment.
    • No or very limited physical effort required.
    • No or very limited exposure to physical risk.
