    The Executive Assistant plays a vital role in supporting construction projects by assisting project managers and ensuring smooth operations. They manage administrative tasks, coordinate communication, and contribute to project efficiency.     Responsibilities to include but not limited to:

    • Assist project managers with day-to-day administrative tasks
    • Maintain project documentation, including contracts, permits, and correspondence
    • Organize meetings, prepare agendas, and take meeting minutes
    • Manage executive calendars, schedule meetings, and coordinate appointments
    • Handle phone calls, emails, and other correspondence on behalf of President
    • Prepare and proofread documents, reports, and presentations
    • Liaise with subcontractors, suppliers, and other stakeholders
    • Coordinate project schedules, deliveries, and site visits
    • Ensure timely communication between project teams
    • Assist in the coordination of construction projects by managing project documentation and correspondence
    • Collaborate with project managers, contractors, and other team members
    • Track project milestones, deadlines, and action items
    • Assist in tracking project expenses and budget allocations
    • Review invoices, purchase orders, and payment requests
    • Collaborate with accounting to ensure accurate financial records
    • Maintain project files, drawings, and specifications
    • Update project status reports and progress trackers
    • Assist in preparing project close-out documentation
    • Organize office supplies, equipment, and maintain a well-functioning office environment
    • Arrange travel logistics, accommodations, and itineraries for executives
    • Handle confidential information with discretion

    Qualifications:

    • Bachelor’s degree in related field
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
    • Familiarity with construction project management software
    • Strong organizational and multitasking abilities
    • Excellent communication skills
    • Prior knowledge in construction or project coordination is advantageous
    • Knowledge of construction terminology and processes
