Retail Customer Service Representative

Position Summary:
The CSR is responsible for the order process. It includes taking orders over the phone, coordinating order with the referral source and the physician. It is the responsibility ofthe CSR to evaluate the referral and ensure medical necessity exists. It is also the responsibility ofthe CSR to maintain a professional, friendly image to the community. Showroom representative includes functions of inventor', solving needs of walk in customers and balancing sales to payments.

Essential Responsibilities:
- Greet each customer upon entering the Showroom, directing and answering questions as needed.
- Receive equipment requests in-person, phone, fax or email, ensuring medical necessity exists prior to deliver'.
- Educating customer on coverage criteria and processes involved to provide equipment. Verify insurance benefits prior to delivery to ensure coverage is available.
- Determine if a prior authorization is needed and obtain that authorization prior to providing the equipment. Inform the customer of their financial responsibility as verified while collecting any co-payments due.
- Verify if a same or similar item was previously obtained which would disqualify the claim. If there is a reason why coverage may not be available, it will be the responsibility of the CSR to inform the customer using an ABN with specific verbiage according to company policy.
- Gain their signature on the ABN determining if full or partial payment is needed before the equipment is provided.
- Coordinate receipt of a Physicians order for equipment prior to providing or faxing to Physicians office with the customer signing an ABN when necessary.
- Collect payment and all required documentation to process orders according to company policy.
- CSR must obtain a signed HIPPA for all customers when billing insurance.
- CSR will be responsible to check availability and verify pricing of all equipment.
- Order entry into the Software System will be preformed by the CSR.
- This will require the knowledge of inventory item codes as well as medical policy to ensure proper HCPCS codes, modifiers, and allowables are being entered for billing purposes.
- Documenting any communication, change in status (physical / financial), and any other activities into the Software System via customer comments and/or scanning of all documentation received
Additional Responsibilities:
- Order, receive, clean, assemble and stock all equipment.
- Follow open & closing procedures to ensure safety and balancing of registers.
- Clean Showroom and order supplies as scheduled.
- Assemble HIPPA and document packets, make copies as needed. Performs other related duties-as assigned.
- Assists in special projects as requested.
- Responsible for neatness of work area and security of patient information.
- Continual contact with patients/customer some of which have compromised immune systems
Requirements
Position Qualifications
- Excellent customer service skills and phone etiquette.
- Must be able to lift up to 40 lbs, reach up to stock or retrieve equipment as well as bend down to measure customers as needed.
- Must be able to stand and be active for up to 8 hours each day scheduled.
Continuing Education
As designated by management to include company in services and off-site training programs as appropriate to industry and position.
