Senior Program Coordinator, Institute for Space and Defense Electronics

  • The Senior Program Coodinator is a hybrid position ( > 50% in person). In person aspects will be a combination of on campus, at ISDE, and at off-site locations (for example certain meetings or conferences). The candidate will serve as a primary liaison to the ISDE/RER and SCALE students (approximately 30-40 students), lead marketing and communications efforts for ISDE, and support certain other ISDE logistical and program-specific needs. Desired attributes include strong communications and people skills, and strong organizational skills. Periodic travel (~ 2-4 times per year) may be required. The role will provide an opportunity for professional growth and skills development through interfacing with students, faculty, engineers, sponsors, and industry is a variety of tasks as listed below. The position will report the ISDE Director, and will support the ISDE Leadership team.
     
    The mission of the Institute for Space and Defense Electronics is to contribute to the design and analysis of radiation-hardened electronics, the development of test methods and plans for assuring radiation hardness, and the development of solutions to system-specific problems related to radiation effects. The Radiation Effects Research Group within ISDE is the largest of its kind in any US university. The group’s mission is to study the underlying phenomena behind the effects of radiation on electronic devices and integrated circuits and to propose new solutions to increase the reliability of systems in space and other systems exposed to ionizing radiation.

    Duties and Responsibilities

    Student Coordinator
    • Maintain up to date ISDE lists and data (status, contact info, adviser, training status etc.)
    • Manage student office space and assignments
    • Monitor supplies in student offices and reorder as needed
    • Interface with students for logistical (non-technical) issues, spend a percentage of time located on campus near the students labs needs, office supplies, etc.
    • Schedule and coordinate student onboarding/training activities
    • Arrange ISDE/RER student activities
    • Triage student expense reports to confirm policy compliance
     

    Marketing and Communications Coordinator
    • Update and maintain ISDE website and other marketing materials (booth banners, etc.)
    • Maintain ISDE presence on appropriate social media sites
    • Generate periodic ISDE newsletter
    • Maintain current ISDE pitch master slide deck
    • Cover booth duty needs at conferences
    • Schedule and manage meetings and events for ISDE (reviews, EPICA IAB, MISC visit, NGC visit…)
    • Schedule and manage ISDE tours
    • Coordinate news article opportunities with ECE and VUSE
    • Coordinate scheduling of training seminars (eg. L3 Harris) with VUSE
    • Lead outreach to potential ISDE graduate student outreach (social media, swag)
    • Interface with student development programs eg. SyBBURE, Clark scholar, TLSAMP
     

    ISDE Operational Support
    • Maintain conference room master schedule
    • Manage ISDE access and maintain associated documentation
    • Monitor supplies at ISDE offices and reorder as needed
    • Interface with VUSE on facilities issues
    • Serve as a primary in-person contact at ISDE
    • Serve as the main procurement officer for ISDE. Use and maintain the one card. Coordinate with students and faculty on office supply needs, including coffee and food/drink for meetings.
     

    SCALE Program Coordinator
    • Serve as primary contact for VU SCALE students
    • Maintain list of SCALE students
    • Arrange events for SCALE students
    • Interface with Purdue on surveys and student data
    • Serve as point of contact for incoming new student reviews from Purdue
    • Coordinate quarterly report inputs to Purdue
    • Coordinate communications with the RH PIs (we have increased management roles and responsibilities)
    • Support scheduling and coordination of the seminar series
     

    Qualifications
    • A bachelor’s degree from an accredited institution of higher education is preferred.
    • At least 3 years of relevant experience is required.
    • Strong Organizational skills are required.
    • Strong critical thinking/ problem solving skills are required.
    • Experience working with senior leadership is required.
    • Experience in Microsoft office, adobe, and have database experience is required.
    • Comfort with new technological systems. Ability to adapt easily to changes in technology and process is required.
    • Ability to work on multiple projects simultaneously is required.
    • Professional and pleasant attitude with considerable tact, diplomacy, and judgment in interactions with students, faculty, and staff is required.
    • Experience working in a higher education/ academic setting is preferred.
