The Arc of Palm Beach County is a dynamic, community-based nonprofit serving and advocating for people with intellectual and developmental disabilities. Our dedicated and caring team members provide support that helps over 3,500 children, teens, and adults to live, learn, work, and thrive.
Position Summary:
This position reports to the Chief Advancement Officer and is responsible for supporting the CAO, focusing on gift processing, database management, donor relations, and event coordination for The Arc of Palm Beach County.
Essential Duties and Responsibilities:
- Support the team, including scheduling meetings, making phone calls, making travel arrangements, and coordinating events.
- General administrative duties include drafting communications, managing mailings, customer service, preparing reports, and maintaining appropriate filing systems.
- Provide administrative support in donor management and stewardship.
- Manage the timely acknowledgment of gifts and ensure that all types of donations (cash, pledges, matching gifts, and planned gifts) are appropriately documented.
- Ensure data integrity through accurate data entry and ongoing clean-up efforts.
- Coordinate the production and distribution of recurring appeals and stewardship materials.
- Assist with writing and editing acknowledgments, donor news, reports, and proposals.
- Collaborate with various departments to plan special events.
- Communicate with donors in person, on the phone, and by email.
- Process incoming and outgoing mail.
- Maintain calendar of deadlines for events, proposals, and reports.
- Contribute to the visibility of the organization by representing The Arc at events.
- Special projects and other tasks as assigned.
Physical Requirements/Working Conditions:
- Must be able to remain in a stationary position 50% of the time.
- The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity equipment/machinery such as copy machines, printers etc.
- The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- The ability to observe, identify, and recognize details at close and long range.
- Frequently moves boxes weighing up to 30 pounds across office for various needs.
Knowledge, Skills, and Abilities:
- Proficient with Microsoft Word, Outlook, and Excel; experience with donor databases and design software a plus.
- Excellent communication skills and judgment with the ability to maintain privacy and confidentiality.
- Ability to multi-task and work independently.
- Excellent verbal and written communication skills.
- Demonstrated ability to work collaboratively and courteously.
Education and Experience Requirements:
- Associate's Degree preferred
- At least two years of experience in an office environment, preferably in a nonprofit organization
- Must possess and maintain a current Driver's License, the availability (or utilization) of personal transportation and proof of insurance is required
- Familiarity with nonprofits, data standards, and databases
- Interest in fundraising
